This role is essential for maintaining efficiency, managing priorities, and ensuring smooth coordination in a multi-entity private family business environment.Job SummaryThe Business Manager will serve as a key support to the CEO, managing scheduling, task coordination, commitment tracking, and cross-entity oversight. This position demands exceptional organizational skills, absolute discretion, and the ability to handle complex, varied priorities. The ideal candidate will combine strong administrative expertise with proactive business support, while maintaining the highest standards of confidentiality and integrity.Key ResponsibilitiesSchedule and Calendar Management: Own and optimize the CEO's calendar, coordinating meetings, appointments, travel, and commitments. Proactively identify and resolve conflicts, set priorities, and provide timely reminders/follow-ups.Task and Project Oversight: Track tasks, deadlines, and initiatives across the portfolio. Utilize project management tools to monitor progress, assign follow-ups, and deliver regular status updates.Commitment and Obligation Management: Monitor ongoing obligations, agreements, renewals, and relationships across entities. Flag upcoming requirements and ensure timely action.Administrative Coordination: Manage correspondence, prepare materials, organize documentation, and facilitate communication with internal and external parties.Cross-Entity Support: Assist with alignment and resource coordination between different parts of the portfolio as needed.Compliance Awareness: Maintain general awareness of relevant regulatory and contractual obligations; conduct initial reviews of documents and escalate potential issues.Ad-Hoc Projects: Support various initiatives as directed, including research, preparation, and follow-through on special tasks.Confidentiality: Handle all sensitive family and business information with strict discretion and professionalism.Qualifications and SkillsEducation: Bachelor's degree in Business, Management, or a related field; advanced credentials or certifications (e.g., project management) preferred.Experience: 5+ years in executive-level support, operations coordination, or project management roles, preferably in multi-entity or private/family business settings.Technical Proficiency: Advanced skills in productivity suites (Microsoft Office/Google Workspace), calendar tools, and project management software (e.g., Asana, Trello, or similar). Familiarity with document/CRM systems is a plus.Soft Skills: Outstanding organization, time management, proactive problem-solving, clear communication (written/verbal), and unwavering integrity/discretion.Other Attributes: Self-directed worker capable of independent judgment; adaptable to shifting demands; meticulous attention to detail.RequirementsBackground Check: This role requires a rigorous background investigation, including criminal history, credit review, reference verification, and any other necessary checks, due to the sensitive nature of the position and access to confidential/private matters.
