Specialty Finishes Coordinator
The essential duties and responsibilities of the Specialty Finishes Coordinator consist of, but are not limited to, the following. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions:Administrative SupportCoordinate/schedule meetings, appointments, conference calls, travel, etc., as necessary.Draft and prepare meeting minutes, as necessary.Prepare and file reports and correspondence, as required.Estimation, Project Inception, and ProcurementWork with the Director, Archetype Creative Group, to understand sample/finish requirements.Draft a plan for producing samples/submittals as directed by the Director, Specialty Finishes.Obtain or verify pricing of materials compared with the application process, to justify treatments or finishes.Create Finishes tracker based on possible scope or mock-ups.Apply historical production data in conversations with key estimators.Verify or re-take-off estimates to determine cost-effective samples and finishes for the project, based on value engineering, actual construction methods, actual quantities, and estimated production rates specific to the project.Keep accurate and up-to-date catalogs of finish recipes by job.Maintain and distribute sample trackers to Operations.Assist, as needed, with product procurement.Generate and track requests for submittals, etc., and ensure responses are received and processed completely.Project Coordination and ExecutionUtilize the finishes tracker with project team for design, presentation, and approval dates based on the actual scope, as directed.Prepare and maintain a weekly status list/action list regarding samples/submittals relating to approvals, issues, and/or delays.Assist with Budgets and Reclassing of Area Budgets, as needed.Other DutiesPerform special projects, as assigned.Act as a backup for office support with ordering office supplies, onboarding new hires, and processing timecards, as needed.Observe and participate in order to gather overall knowledge of industry technology, project conditions, problem solving techniques, proactive management, etc.Attend seminars/educational training programs as required.Perform any other related or unrelated, unassigned, unspecified duty that may be needed from time to time.Education: High School diploma.Experience: Required two (2) years related administrative experience. Knowledge of construction practices through finishing preferred.Skills: Well developed analytic and conceptual skills. Ability to read and interpret various types of drawings, including schematic and conceptual formats preferred. High attention to detail, proven ability to manage multiple tasks simultaneously, an aptitude for learning new things and must be able to work under pressure and time constraints. Knowledge of confidentiality standards and the ability to manage sensitive information responsibly.Physical: Includes sitting, standing, reaching, walking; use of hands, arms, legs, and feet. Must be able to see and hear (with mechanical assistance if necessary) sufficient to understand and comprehend individual one-on-one conversations.Communication: Must be able to read, write and speak English fluently. Bilingual (Spanish) is preferred. Ability to communicate effectively and positively with customers, vendors, and employees.Computer: Proficient with MS Office (Word, Excel, Outlook) and Bluebeam. Experience with Procore and Plexxis desirable.
