Administrative AssistantSmall Vines Winery | Sebastopol, CA Full-Time | Hourly DOEWe’re seeking a highly organized, detail-driven Administrative Assistant to become an essential part of our small, passionate team. This is a hands-on role for someone who loves keeping things running smoothly behind the scenes, enjoys variety in their day, and feels energized by working in a creative, rural environment.Small Vines is a family-owned boutique winery and regenerative organic vineyard farming company rooted in West Sonoma County. We craft small-lot Pinot Noir and Chardonnay from thoughtfully farmed vineyard blocks, guided by living soils, healthy ecosystems, and human connection.You’ll work closely with the founders and winemakers themselves, supporting leadership, sales, and operations while helping deliver a seamless experience to our customers and partners. What You’ll DoProvide administrative support to executives and sales, including managing phones, email, calendars, mail, and filing systemsAssist with shipping logistics to ensure accurate, timely wine deliveriesSupport inventory management, tracking stock and coordinating with vendorsProvide World Class Customer Service as a primary contact for shipment inquiries and issue resolutionHelp keep daily operations organized and flowing smoothlyPitch in on any general office needs or errands as they arise (we’re a small team — everyone contributes) Who You AreHighly proficient in Excel or Google Sheets (comfortable with formulas, data organization, and problem-solving)Tech-savvy and quick to learn new systemsExceptionally organized, detail-oriented, and reliable with a can-do attitudeWarm, professional communicator — both written and verbalComfortable working independently while collaborating closely with a small teamPrior experience in administration, logistics, inventory, or customer service preferredWine industry experience is a bonus, but not requiredYou appreciate rural settings and don’t mind being off the beaten pathSocial Media Skills and/or High School Spanish language skills are a plusPHYSICAL/MENTAL REQUIREMENTS:While performing the duties of this job, the employee is frequently required to do the following: Must be able sit and/or stand for long periods of time, and work on a computer for extended periods.Ability to lift and carry up to 50 lbs regularly.Must be willing and able to occasionally work a flexible schedule, which may include weekends, evenings, and/or holidays Compensation & PerksHourly pay DOEWine perks and opportunities to learn about regenerative organic farming, viticulture, and winemaking-A rare chance to work directly alongside the winemakers in an intimate, hands-on environment — if you’re passionate about wine, you’ll experience the journey from vine to bottleSupportive, collaborative work culture in a beautiful rural setting If you’re excited about supporting a purpose-driven winery and contributing to a thoughtful, hands-on operation, we’d love to hear from you.
