Multi-site Dermatology Group Seeks Executive Assistant Portsmouth, NHOptima Dermatology is recruiting an Executive Assistant to join our Practice Support Center, based in Portsmouth, NH.Position DetailsWe are looking for an Executive Assistant to perform a variety of administrative and research tasks in support of our executive team. Responsibilities include managing calendars, making travel arrangements, and executing on a wide variety of research projects. To be successful in this role, the candidate will be well-organized, have great time management skills and be able to work with limited guidance.ResponsibilitiesAct as the point of contact among executives, employees, clients, and other external partnersManage information flow in a timely and accurate mannerManage executives’ calendars and setup meetings, as well as coordinating Board meetings, recurring leadership meetings, and company wide recurring meetingsMake travel and accommodation arrangementsTrack and manage expensesAssist with coordination and tracking of company eventsConduct and compile research projectsInput, maintenance, and reporting of contacts/records in the company’s CRMAct as an office manager by keeping up with office supply inventoryGreet planned visitors/meeting attendees at the corporate HQ. Organize food and drink accommodations for the meeting, if applicableProvide back-up support for other staff members and ManagementTriage and respond to miscellaneous requests from key stakeholdersOrganize and mail gifts, letters and thank you packagesAssist CEO and Chief Growth Officer with personal requests and mattersQualificationsBachelor’s DegreeWork experience as an Executive Assistant or other administrative role preferredTechnologically savvyExperience with Project Management systems, CRM (Salesforce), Asana, and other applicationsExcellent MS Office skillsExcellent, highly professional written and verbal communication skillsThe ability to multi-task and prioritize job duties; ability to manage requests from several key stakeholdersOutstanding organizational and time management skills; anticipate problems and respond proactivelyMust be able to complete tasks with accuracy and attention to detailHandles matters proactively and expeditiously and follows through on projects to successful completionAbility to solve problems within the scope of the roleAbility to work independently with minimal supervisionAbility to effectively present information to senior managementDiscretion and confidentialityAbout Optima DermatologyOptima Dermatology is revolutionizing skin care.
