Entity Management Specialist
Our Global Support Center/ Corporate Office is in the Energy Corridor- off I10 and N Eldridge. Address: 1390 Enclave Pkwy, Houston, TX 77077 This is a hybrid position requiring an on-site presence 3 to 4 days per week. Please note that the number of days on-site can increase based on business needs.The Entity Management Specialist supports the governance and compliance of Sysco’s U.S. legal entities. Reporting to the Global Entity Manager, this role is responsible for executing required filings, maintaining accurate corporate records, and ensuring entities remain in good standing across all jurisdictions. The role partners closely with the Global Entity Management team and cross-functional stakeholders to respond to inquiries, manage changes, and uphold the integrity of entity data.Key ResponsibilitiesCorporate Compliance & FilingsManage the preparation, review, and submission of annual reports in partnership with CSC and internal stakeholders, ensuring accuracy and timelinessExecute ad hoc state filings, including new entity qualifications and other jurisdictional requirementsPrepare and process event-driven documentation (e.g., officer/manager appointments and resignations, dividend declarations), including related filingsEntity Management & RecordsMaintain and update corporate records to ensure completeness, accuracy, and audit readinessOversee the lifecycle of DBA registrations, including new registrations, renewals, and terminationsMonitor Corporate Tracking Service notifications from CSC and determine required actions to maintain entity good standingStakeholder Support & Inquiry ManagementServe as a primary point of contact for internal inquiries related to U.S. entities, including requests for corporate documents, officer/director information, and entity dataPartner with internal teams, external vendors (CSC), and Secretary of State offices to resolve issues and ensure complianceLicensing & Regulatory SupportPrepare and submit PACA license renewals, including updates as needed, through the USDA ePACA portalQualificationsExperienceMinimum of 3 years of experience in a corporate, legal, or law firm environment supporting entity management or corporate governanceExperience managing multi-state filings and corporate compliance activities preferredEducation & CertificationsBachelor’s degree preferredParalegal certification from an ABA-accredited program preferredCurrent notary commission (Texas) preferredSkills & CapabilitiesStrong attention to detail with a high degree of accuracyAbility to manage multiple priorities and meet deadlines in a fast-paced environmentEffective communication skills with the ability to engage stakeholders at all levelsStrong organizational skills and ability to maintain structured, reliable recordsWork EnvironmentBased in the Global Support Center in Houston, TexasUp to 20% travel may be required to Sysco facilities or operating companiesStandard office environment with moderate noise levels
