Job SummaryManatt, Phelps & Phillips, LLP seeks a Client Compliance Specialist to ensure accurate client billing compliance by interpreting Outside Counsel Guidelines and collaborating across billing, eBilling, and Client Arrangements teams. The role requires a detail-oriented legal billing professional who excels in problem-solving, process improvement, and cross-functional collaboration in a fast-paced environment.ResponsibilitiesReview, analyze, summarize, and document client Outside Counsel Guidelines and distribute billing requirements to appropriate firm personnel.Interpret client billing guidelines and ensure accurate compliance within the firm's financial and legal management systems.Review new and revised billing guidelines and engagement letters, advising the Client Intake team on required revisions.Ensure matter-level billing instructions and billing documentation are properly maintained and aligned with client requirements.Onboard new eBilled clients and clients migrating to eBilling platforms from initiation through full implementation.Coordinate eBilling onboardings with billing professionals, eBilling teams, Client Arrangements, and clients to ensure accurate and timely setup.Review and process eBilling vendor invoices, confirming correct fees are charged and monitoring prompt payment.Analyze billing guidelines to ensure corresponding billing information is properly configured, including billing instructions and master specifications documentation.Evaluate current billing compliance processes and identify opportunities for efficiency and process improvement.Collaborate with the Client Arrangements and Compliance team to establish and implement standard operating procedures and departmental policies.Monitor and support ongoing process improvement initiatives, ensuring milestones are met.Address billing compliance questions from firm practice groups and clients.Provide coverage and support to other team members as needed.Assist with special billing and compliance projects, including year-end rate arrangement confirmations and rate requests.QualificationsMinimum of two (2) years of related experience in legal billing or eBilling.Bachelor's degree in accounting, business, or a related field.Advanced experience in Microsoft Suite, with a focus on advanced Excel skills.Experience with electronic billing systems, including Aderant Expert and rate hierarchy structures (strongly preferred).Strong organizational skills with exceptional attention to detail.Excellent analytical, mathematical, and problem-solving abilities.Strong written and verbal communication skills.Ability to manage multiple priorities, meet tight deadlines, and handle confidential information.Ability to work collaboratively in a team environment and share knowledge effectively.Experience with legal billing and accounting software.Familiarity with Iridium and Power BI (preferred).Demonstrated reliability and the ability to work both independently and collaboratively within a hybrid (remote and in-office) team environment.Work ScheduleThe team operates on a hybrid schedule requiring two days of in-office presence and three days of remote work each week. All employees must remain available for onsite work up to five days per week as business needs dictate. Flexibility is required.Compensation and BenefitsThe base annual pay range for this role is $75,000 – $95,000. The base pay offered will vary based on skills, qualifications, experience, location, and will also consider internal equity.
