This position works in close cooperation with several Visit Detroit internal staff members and departments. LOCATION & SCHEDULE: Full-timeThis position currently involves a hybrid working model with 2 days remote, and 3 days in-office in Detroit, MI.WHAT WE REQUIRE:Associate’s degree or equivalent combination of formal education and work experience.1+ years’ experience working in clerical support position.Maintain dependable, consistent, and acceptable attendance based on a 5-day, 40 hours work week.Valid, unrestricted Michigan driver’s license. PREFERRED:Bachelor’s degree1-2 years working experience in the Travel/Tourism/Hospitality industry.1-2 years’ experience working in clerical support position.HOW YOU’LL CONTRIBUTE:Support the Manager, Sales Support by handling clerical and administrative duties, including data input, submitting requisitions and product requests.Maintain databases, prepare and send correspondence, and perform other necessary support functions for the sales process.Answer calls from inquiries relative to the family reunion seminar, send out information packets electronically and greet family reunion visitors (walk-ins) to the Visit Detroit offices.Execute the service process for family reunion clients including necessary follow-up with status changes, fulfillment of product requests and other support as needed to ensure customer satisfaction. Responsible for data entry into the IDSS database to ensure accurate account and contact information. Enter leads into the system and follow-up with hotel partners to obtain contracts. Committed to partnering with Visit Detroit in embedding diversity, equity, and inclusion into company culture and operations, and actively contributing to creating a welcoming and inclusive environment for all employees and stakeholders. OTHER CONTRIBUTIONS:Draft and prepare routine correspondenceManage inbound and outbound phone communicationsSupport document management through copying, scanning, and filingProvide overall support to Group and Convention Sales Department, primary focus, Sales Managers.Provide back-up support for other sales units within Visit Detroit as needed. REQUIRED KNOWLEDGE, SKILLS, AND COMPETENCIES:Working knowledge of the hospitality industry, knowledge of area hotels and meeting/event/convention spaces.Excellent communication skills including the ability to clearly express thoughts, ideas, and concepts, verbally and in writing, in the English language.Strong ability to organize, prioritize, and manage multiple assignments.Creative and adaptable in fast-paced environments.Builds and maintains effective relationships with colleagues and external stakeholders.Consistently demonstrates professionalism in attitude, appearance, and behavior.Effective in both remote and in-person settings; proficient with video conferencing tools.Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.Available to work evenings, weekends, and travel as needed.Available weekends and outside of normal work hours for assignments and travel, as needed.PHYSICAL DEMANDS AND WORKING CONDITIONS:Office work involves extended periods of sitting or working at a desk, utilizing repetitive typing motions on a computer or laptop, and reading text on a video display monitor.Ability to perform extensive standing and/or walking for work-related assignments and events.Ability to lift, push, and or carry up to 40lbs. occasionally. Visit Detroit is an Equal Opportunity Employer: We respect and seek individuals of a diverse background and do not discriminate in employment based on race, color, religion, sex (including pregnancy and gender identity), national origin, political affiliation, sexual orientation, marital status, disability, genetic information, age, membership in an employee organization, retaliation, parental status, military service, or other non-merit factor.Please ensure to regularly check your email spam folder for any communication from Visit Detroit to avoid missing important updates regarding your application status.The above is intended to describe the general content of and requirements for the performance of this position.
