Role Description This is a full-time, on-site role based in Houston, TX, for a Reception / Operations Coordinator. In this role, you will oversee front desk operations, including greeting visitors, answering and directing calls, and managing daily clerical tasks. You will provide administrative support to various departments, coordinate office operations, and assist with document management. Additionally, you will ensure scheduling efficiency, foster a welcoming office environment, and provide excellent customer support to clients and staff.Serve as the first point of contact for visitors, clients, and incoming calls.Coordinate scheduling and mobilization of field technicians and crews.Support preparation and tracking of invoices, purchase orders, and operational expensesMaintain equipment and tool tracking recordsAssist with project documentation, reports, and data entryCoordinate travel, lodging, transportation, and logistics for field personnelMaintain organized electronic and physical filing systemsMonitor office supplies and support daily office operationsCommunicate with clients, vendors, and subcontractors professionallyAssist management with administrative and operational support tasksHelp track project schedules, manpower, and operational status updates Qualifications Experience with invoicing and scheduling preferredStrong organizational and multitasking abilities.Excellent verbal and written communication skills.Proficiency in Microsoft Office Suite (Excel, Word, Outlook)Ability to work independently and manage priorities effectivelyProfessional attitude and strong attention to detailFamiliarity with QuickBooks or similar accounting/invoicing software is a plus.Bilingual English/French or English/Spanish is a plusExcellent communication and interpersonal skills.Exceptional customer service ability and a professional demeanor.Attention to detail and an ability to multitask in a fast-paced environment.Prior experience in a similar role is preferredHigh school diploma required; associate or bachelor’s degree preferredMinimum 2 years of experience in administrative support, operations coordination, or receptionist role.
