This role sits at the center of executive operations, supporting senior leadership in a highly visible and impactful capacity.Job Description:Our client is seeking a highly organized and proactive Executive Assistant to support two senior leaders. This individual will act as a critical operational partner, ensuring smooth day-to-day execution across executive priorities, administrative workflows, and cross-functional initiatives. The role requires someone who is highly detail-oriented, discreet, and able to bring structure to fast-moving and sometimes complex operational needs with minimal supervision.Key Responsibilities:Provide direct administrative and operational support to two senior executivesManage complex calendars, scheduling priorities, and meeting coordinationCoordinate executive and board-level meetings, including agendas, materials, logistics, and follow-upsOrganize, maintain, and update confidential financial, operational, and board documentationTrack key administrative items such as renewals, contracts, insurance deadlines, and reporting needsSupport project coordination across finance, operations, and leadership initiativesClean and maintain digital file systems, including legacy data organization and documentation updatesPrepare documents, presentations, spreadsheets, and reports using Microsoft Office toolsServe as a central coordination point for communication between leadership and internal teamsAnticipate needs and independently manage competing priorities in a high-volume environmentQualifications:35+ years of experience in executive support, administration, office coordination, or similar rolesStrong organizational and project management capabilitiesExperience supporting senior leadership in a fast-paced or high-volume environmentProven ability to handle confidential and sensitive information with discretionStrong proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)Comfortable working independently with minimal training or oversightAbility to manage detailed documentation and large information sets accuratelyProfessional, polished communication style with strong judgment and discretionExperience in mid-size to large organizations preferredBachelors degree preferred but not required based on experienceAdditional Details:Fully onsite role, MondayFriday (Oakland, CA)Standard schedule: 8-hour workday with 30-minute lunchReporting directly to CFO and Chief of StaffInterview process includes virtual interview followed by onsite interviewOpen to direct hire, contract (1+ year), or contract-to-hire arrangementsPerks:High-impact role with direct visibility to executive leadershipMission-driven organization focused on youth and community supportStrong benefits package including PTO, holidays, 401(k) match, and tuition assistanceOpportunity to support meaningful capital projects and organizational initiativesCollaborative executive environment with clear expectations and structureOnsite parking available
