The role operates within a PMO or program structure and supports Project Managers, Functional Leads, and Technical teams.Key ResponsibilitiesProject Coordination & AdministrationTrack project milestones, deliverables, and integrated schedulesMaintain project plans, status reports, and action itemsCoordinate meetings, stand-ups, and project ceremoniesPrepare agendas and capture concise meeting notesDocumentation & GovernanceMaintain centralized repositories for project documentationProduce status reports and meeting recordsEnsure adherence to PMO standards and audit requirementsSupport change control documentation and trackingRisk & Issue Management (RAID)Maintain RAID logs (risks, assumptions, issues, dependencies)Monitor mitigation progress and escalate as neededTrack key decisions, approvals, and governance outcomesStakeholder CommunicationFacilitate communication across functional and technical teamsDistribute reports, dashboards, and project updatesSupport executive-level reporting and summaries Resource & Financial TrackingTrack resource allocation and timesheetsSupport budget, invoice, and vendor tracking System & Tool SupportMaintain project data in tools (Workday, Smartsheet, Jira, MS Project)Support reporting and dashboard developmentRequired QualificationsBachelor’s degree in business administration, Information Systems, HR, Finance, or related field2–5 years of experience in project coordination or project administration, preferably within ERP and Workday environmentsWorking knowledge of Workday modules (HCM, Financials, or Payroll) strongly preferredExperience supporting ERP implementationsProficiency in project management tools and Microsoft Office Suite (Excel, PowerPoint, Word)Preferred QualificationsExperience in Workday implementation lifecycle (Plan, Architect & Configure, Test, Deploy, Support)Familiarity with Agile, Waterfall, or hybrid delivery methodologiesPMP, CAPM, or equivalent project management certification (or in progress)Experience in consulting or client-facing environmentsCore CompetenciesStrong organizational and time management skillsAttention to detail and documentation rigorEffective written and verbal communicationAbility to manage multiple priorities in a fast-paced environmentProblem-solving and critical thinkingCollaboration and stakeholder managementAdditional requirements:Ability to pass a criminal background check.Authorized to work in the US for any employer.Local in the Chicagoland areaBenefits: Comprehensive benefits package including: Performance Bonus Eligible401(k) planMedical, Dental and Vision InsuranceLife and disability insuranceCommuter BenefitsPaid time off options, including vacation, sick time, fixed holidays, parental leave.Note: Applicants must be currently authorized to work in the United States on a full-time basis.
