This individual will lead and assist with all elements of client service – including client onboarding, account opening, asset movement, account servicing, database maintenance, meeting preparation, documentation, client communications, and client events.\nThis position offers an opportunity for professional growth through expanded operational expertise, immersion in exceptional client service, and mentorship from a top-performing & award-winning wealth management firm.\nEssential Duties and Responsibilties\nClient Onboarding: Assist clients with onboarding, including account setup, paperwork preparation, custodian coordination, and welcome communications.\nAccount Opening: Prepare, process, and manage client account documentation while coordinating with custodians and financial institutions.\nAsset Movement: Coordinate and process deposits, withdrawals, money movement, asset transfers, and account updates, ensuring accuracy and timeliness.\nAccount Maintenance: Monitor and resolve daily custodial alerts related to cash management, account updates, and trading activity.\nAccount Service: Process transactions and service updates; monitor account activity to ensure accuracy and completion.\nClient Service Requests: Process client requests such as account changes, beneficiary updates, distributions, and gifting transactions in accordance with regulatory requirements and firm policies. Resolve client service issues promptly and efficiently by using all available resources.\nDatabase Maintenance: Maintain accurate and up-to-date client records and files to ensure data integrity.\nMeeting Preparation: Prepare materials and reports for client meetings, ensuring timeliness, accuracy, and professionalism.\nDocumentation: Assist with back-office planning functions, including meeting documentation, filing, and follow-ups.\nClient Communications: Serve as a point of contact for clients, providing responsive, thoughtful, and professional service via phone, email, and in-person interactions.\nClient Events & Marketing: Assist with marketing initiatives, event planning, and social media efforts to support firm branding.\nProvide backup inbound call support and route client needs appropriately.\nCoordinate with internal departments to ensure timely completion of all responsibilities.\nCollaborate with advisors and operations leadership to streamline processes, enhance the client experience, and support firmwide initiatives.\nThe duties/responsibilities listed above are not all-inclusive; additional functions may be assigned as needed.\nJob Requirements\nAbility to consistently process documents accurately and efficiently.\nAbility to manage and adapt to multiple priorities in a fast-paced environment.\nAbility to work effectively in a collaborative team setting while independently managing assigned responsibilities.\nStrong interpersonal and communication skills when interacting with clients and coworkers.\nWorking knowledge of financial services, including investment types, advisory accounts, and financial planning concepts.\nStrong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), with an emphasis on Excel.\nBachelor’s degree required.\nMust pass a background check prior to hire.\nHigh level of ethics, discretion, compliance, and confidentiality.\nPreferred Qualifications\nTwo or more years of relevant experience in financial services, wealth management, or investment advisory.\nFINRA SIE, Series 7, and 66 licenses; or ability to obtain within six months of hire.\nExperience with WealthBox or similar CRM platforms.\nExperience with event planning and social media marketing\nAdditional Details\nEmployee benefits include health, dental, and vision insurance; 401(k) with match and profit sharing; PTO; holiday pay; work-from-home days; and annual performance-based bonus potential.\nThis position is based in Irvine, CA, and requires a consistent in-office presence.
