Every team member is expected to operate in alignment with our core values.\nIntegrity Doing the right thing even if no one is looking.\nEmpathy Actionruled compassion.\nIngenuity Big ideas and solutions.\nAccountability Ownership in every action.\nCollaboration The power of we over me.\n________________________________________\nPosition Summary\nThe Executive Assistant provides high-level administrative, operational, and project coordination support to the Chief Engagement Officer and Chief Growth Officer.\nThis position serves as a trusted partner who ensures executive priorities remain organized, communications are professional and timely, projects continue moving forward, and day-to-day operational details are proactively managed.\nThe Executive Assistant anticipates executive needs, exercises excellent judgment, and maintains the highest level of professionalism and confidentiality while interacting with internal staff, community leaders, healthcare partners, government agencies, donors, and executive leadership.\n________________________________________\nResponsibilities\nExecutive Calendar and Schedule Management\nManage complex executive calendars across multiple priorities.\nCoordinate meetings with internal and external stakeholders.\nAnticipate scheduling conflicts and proactively recommend solutions.\nPrepare daily and weekly executive agendas.\nEnsure executives have necessary materials prior to meetings.\nCoordinate meeting logistics including technology, locations, and materials.\nExecutive Communications\nDraft professional correspondence, presentations, and meeting summaries.\nMonitor assigned executive email accounts and prioritize communications.\nRespond to routine inquiries on behalf of executives when appropriate.\nPrepare followup communications after meetings.\nCoordinate communication between executives and internal departments.\nMaintain professional communication with executive leaders from partner organizations.\n________________________________________\nTravel and Event Coordination\nArrange executive travel, lodging, transportation, and itineraries.\nPrepare detailed travel packets and schedules.\nCoordinate conference registrations and event logistics.\nManage expense documentation and reimbursement preparation.\nSupport executive participation in community events and speaking engagements.\n________________________________________\nProject Coordination -Primarily supporting the Chief Engagement Officer:\nTrack strategic initiatives and implementation timelines.\nCoordinate meetings for crossfunctional projects.\nDocument action items and monitor completion.\nFollow up with departments regarding assigned deliverables.\nMaintain project plans and implementation schedules.\nAssist with preparing executive reports and presentations.\nCoordinate and prepare comprehensive meeting materials and executive briefing documents for highlevel meetings with donors, strategic partners, and corporate, foundation, and government stakeholders.\n________________________________________\nExecutive Office Operations - Primarily supporting the Chief Growth Officer:\nAnticipate daily operational and administrative needs.\nPrepare meeting materials and briefing documents.\nCoordinate office visitors and executive hospitality.\nOrganize files, electronic records, and confidential documents.\nEnsure executive workspaces remain prepared for meetings and visitors.\nManage recurring administrative processes.\nRelationship Coordination\nServe as a professional point of contact for community partners and executive stakeholders.\nBuild positive working relationships across DWD departments.\nCoordinate executive meetings with healthcare organizations, educational institutions, employers, and community partners.\nMaintain confidentiality while representing executive leadership.\nDemonstrate diplomacy, discretion, and exceptional customer service.\n________________________________________\nAdministrative Excellence\nPrepare reports, spreadsheets, presentations, and executive dashboards.\nMaintain accurate records and documentation.\nCoordinate document routing for approvals and signatures.\nAssist with board meeting preparation as assigned.\nSupport special projects and organizational initiatives.\nIdentify opportunities to improve executive workflow and administrative efficiency.\n________________________________________\nQualifications\nEducation\nAssociate's degree required.
