This role is to support the Group Board of Directors , which works to promote the interests of shareholders, and to ensure a common set of expectations as to how the Board, its various committees, individual directors and management should perform their functions. Previous experience in supporting senior executives is preferred as well as the ability to work well under pressure in a busy and dynamic environment.\r\nJob Duties\r\nSupport the scheduling and execution of complex, in-person and virtual Board meetings, including coordination of high-volume domestic and international travel, transportation and accommodations\r\nLiaise closely with administrative assistants of internal executive leadership on scheduling and meeting execution needs\r\nTrack requests needed from internal stakeholders and work with senior executives to ensure that responses are provided in a timely manner\r\nMaintain briefing materials and talking points for meetings and speaking opportunities. Liaise with other divisions to coordinate materials as needed\r\nMaintain an extremely detailed calendar and related logistics\r\nTimely processing of expense reports and director reimbursements\r\nAssist in other Board/Director matters as needed, including but not limited to, preparing correspondence and other communications, file organization, research, archiving\r\nInteract with senior level business leaders in a professional and effective manner both in person and written\r\nCan be relied upon to do the job as well as being willing to help other team members when needed\r\nMaintain understanding of firm policies\r\nQualifications\r\nExcellent interpersonal and communication skills, both written and verbal\r\nHigh attention to detail, strong organizational skills and excellent follow-through\r\nTrustworthy to handle highly sensitive and confidential information\r\nHighest degree of integrity, professionalism, diplomacy and discretion required\r\nComfortable working with people at all organizational levels, particularly the senior-most leadership levels\r\nAbility to work well under pressure, adapt to unexpected events, and prioritize and multi- task in a deadline driven environment\r\nMust have excellent judgment and be resourceful\r\nTeam player with a positive attitude\r\nKnowledge of general business, corporate and government cultures\r\nStrong proficiency in MS Word, Excel, PowerPoint and Outlook\r\nWere committed to finding reasonable accommodations for candidates with special needs or disabilities during our recruiting process.\r\nAllied Global Marketing is proud to be an equal opportunity workplace.
