Personal Assistant
Overview
Looking for a full time personal assistant with experience in scheduling, vendor relations, logistics and purchasing/sales. Must be very organized, trustworthy and discreet. NDA will be required. Job will require multi-tasking, versatility and time management.
Responsibilities
Manage and coordinate calendars using iCal, scheduling appointments, travel and meetings efficiently.
Prepare, proofread, and transcribe documents with accuracy using MAC applications.
Organize and maintain filing systems both digitally and physically to ensure quick retrieval of information.
Handle incoming calls with professionalism, demonstrating excellent phone etiquette.
Assist with event planning for corporate or personal functions, including logistics coordination and vendor communication.
Perform data entry tasks with precision using QuickBooks and other bookkeeping software; support basic bookkeeping activities.
Support project coordination efforts by tracking deadlines, preparing reports, and liaising with team members.
Manage office supplies inventory, oversee home office duties, and ensure the overall organization of the workspace.
Utilize office management skills to streamline administrative processes and improve efficiency.
Support executive administrative needs through first point of contact, scheduling, correspondence management, and task prioritization.
Use DocuSign or similar electronic signature platforms for document signing processes.
Provide exceptional service by addressing inquiries promptly and professionally.
Liaison between employer and family office, accounting, legal.
Facilitate various tasks such as shipping, receiving, estate sales.
Skills
Proven experience as a Personal Assistant or an administrative support role within an executive or HNW family environment.
Strong organizational skills with the ability to prioritize tasks effectively.
Proficiency in MAC productivity products, Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
Excellent typing speed combined with transcription and proofreading abilities.
Familiarity with QuickBooks for bookkeeping and data entry tasks.
Knowledge of office management practices including filing systems, front desk operations.
Effective communication skills demonstrating professionalism in phone etiquette and written correspondence.
Ability to handle confidential information discreetly with high integrity.
Experience supporting event planning and project coordination activities.
Competence in using electronic signature platforms such as DocuSign for document processing.
Computer literacy across various platforms ensuring seamless integration of tasks.
