This role owns project budgeting, cost tracking, forecasting, and financial reporting while supporting the administrative and financial processes that keep projects organized and predictable.\r\nThe Project Coordinator works closely with Project Managers, Operations, Production, and Corporate Finance to ensure clear financial visibility and disciplined financial management across PMC projects.\r\nResponsible for coordinating the successful planning, project delivery and contract execution of project administrative functions.\r\nKey Accountabilities/ResponsibilitiesLiaise with customers, contractors, and ATCO internal to obtain and issue site investigations, engineering site plans, building approval applications and occupation certificates.\r\nTransmit and upload documentation to obtain manufacturing approval, site mobilization and progress plans. This includes drawing and design approvals, project management plans, subcontractor approvals, etc.\r\nCompile and submit documentation to achieve contract milestones. This includes bank guarantees, insurance documents, progress reports, contract notices, and other contractual obligations.\r\nCoordinate subcontractors and suppliers. Prepare purchase orders, obtain relevant subcontractor insurance, establish supplier accounts, and provide work scope/site plans to contractors as necessary.\r\nMonitor and approve vendor and subcontractor invoices; reconcile invoices to related purchase orders and track accordingly.\r\nWork with Accounting teams to create new vendor requests; perform necessary data entry of project bids and expenses.\r\nAssist with collection activities. Liaise with clients and Accounts Receivable department; manage general inquiries, disputes, and 60/90 debtors.\r\nManage financial processes including POs, change orders, commitments, and vendor cost.\r\nAssist Business Development Manager in package of quote and tender submissions.\r\nFinancial recording and cost control obtaining approval for supplier and subcontractor invoices, reconciling values claimed, and inputting the entries into the project bid cost tracker and purchase order register.\r\nInvoicing. Creating internal and external documentation to client, such as project claims.\r\nAssistance with account payables including creating new vendor requests, batch headers and data entry into project bids and expense registers.\r\nLiaison with customer, ATCO internal and contractors for rectification of non-conformances.\r\nCommunicates effectively through verbal and non-verbal correspondence, adapting to audience needs and responses.\r\nUndertake other such duties or training as reasonably required and consistent with the general level of responsibility of the position.\r\nGeneral administrative support to Contracts Administrator.\r\nHelp establish consistent financial processes across PMC projects.\r\nMaintain accountability to budgets, approvals, and financial procedures.\r\nImprove financial reporting tools and workflows over time.\r\nRequired Qualifications/Education/Work ExperienceBachelor's degree, or combination of education and experience.\r\n3-5 years in construction project accounting, project controls, or financial administration.\r\nStrong understanding of construction project financials.\r\nStrong customer service focus and ability to converse with building and construction site managers.\r\nDemonstrated ability to adapt to changes and work at a fast pace in peak times.\r\nGood problem solving, investigative and conflict resolution skills.\r\nAbility to learn and understand systems, software and procedures.\r\nIntermediate ability to use Microsoft Office / Windows applications.\r\nAbility to work well in a team environment and establish positive and collaborative working relationships.\r\nAble to develop effective working relationships by building credibility, respect and rapport with internal and external networks.\r\nClear, concise and influential written and verbal communication skills.\r\nAttention to detail and good work ethic.\r\nAble to operate with minimal supervision.\r\nSeeks all relevant information for problem solving and providing recommendations.\r\nPhysical DemandsGenerally, the position is sedentary and will require the ability to sit for extended periods of time; use hands and fingers to type; provide verbal communication\r\nAbility to speak/hear and use specific vision abilities such as close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus\r\nFrequent ability to reach with arms, grasp with hands and arms\r\nPosition may require the occasional need to stoop, kneel, crouch, climb or balance\r\nWork EnvironmentWork is conducted primarily indoors in a controlled office environment; noise level is usually low.\r\nAt ATCO, we believe in strengthening the communities where we work & live.
