Create preliminary estimates and job file backup. Perform general office duties, such as drafting correspondence, filing, and creating reports.Primary Roles And ResponsibilitiesMonitor job file status and job file audit statusMaintain job file WIPsMonitor and ensure client requirements are followedReview and validate initial field documentationCreate preliminary estimateDaily job file coordination, including preparing job file reports, performing job file backup, and completing job file audit processMaintain internal and external communicationsComplete and review job file documentation for final upload and the audit processPerform job close-outNecessary Experience And Skill Set A minimum two years of business admin experience Working knowledge of current business software technologies Superb customer service, administrative and verbal and written communication skills Experience in the commercial cleaning and restoration or insurance industry is desired Experience in writing estimates and the job file processFormal Education/Training High school diploma/GED Associates/bachelor’s degree preferredPhysical And Work Environment Requirements2+ year(s) of administrative or office-related experience and business experienceExperience in the commercial cleaning and restoration or insurance/service industry is desiredExperience with writing estimates, job file processes, and quality assurance, a plusOutstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all timesAbility to remain calm and professional during tense or stressful situationsExcellent organizational skills and strong attention to detailVery self-motivated and goal-orientedCapability to work in a fast-paced, team-oriented office environmentProficiency in Microsoft Office (i.e. Outlook, Word, Excel)Ability to learn new software, including Xactimate and proprietary softwareMinimum of HSD/GED, Associates/bachelor’s degree preferredAbility to successfully complete a background check subject to applicable lawNormal Working Hours, Additional Working Hours And Travel RequirementsThis is a full-time position working 7:00 a.m.–4:00 p.m., Monday through Friday.
