Applicant list may be screened more than once.This position is with the New Mexico Department of Health, a Bureau within The Centers for Health Protection. We are the Infectious Disease Epidemiology Bureau that oversees the reporting, surveillance, and control of reportable, notifiable diseases and conditions of public health significance. Why does the job exist? The purpose of this position is to support administrative support systems and to collaborate financial functions with Bureau, Division, and Department administrative staff. To include payroll reconciliations, contracts monitoring, procurement for goods/services/ and travel, journal entries, accounts receivable, accounts payable. How does it get done? The incumbent will provide administrative support for financial functions. Have knowledge of SHARE FSCM and HCM system. Audit procurements, accounts payable, and bureau travel. Have knowledge of Microsoft Word, Excel, and knowledge of Pivot Tables to execute payroll reconciliations. Assure accurate and timely compliance with Bureau Payroll Corrections to include but not limited to reconciliation of TPID's, creation of pivot tables to analyze, summarize, and calculate payroll data, and formulate calculations according to Federal Timesheet reporting. Assist as needed with create/maintain/audit Contract files to ensure deliverables/goods/services/ and budget is sufficient. Experience preparing correcting journal entries. Ensure accuracy, attention to detail, and timeliness in process. Ability to audit and back up financial team with procurement, change orders, accounts payable. Who are the customers? New Mexico Department of HealthPublic Health DivisionCenters for Health ProtectionInfectious Disease Epidemiology Bureau Ideal Candidate The ideal candidate has experience with the SHARE Financial system, Accounts Payable & Purchasing experience, Travel processing for encumbrance and recoupment, running reports, reconciling and reviewing financial data, reviewing and processing of financial transactions (Journal Entries). Experience with processing Payroll corrections. Ability to create and navigate pivot tables to analyze, summarize, and calculate payroll data, and formulate calculations according to Federal Time Sheet reporting. Contracts and encumbrance monitoring to ensure deliverables/goods/services are received and funding is sufficient. Critical thinking, Problem solving, excellent written and verbal skills. The ability to work independently and as a team. Highly organized and adept to multi-tasking. Minimum Qualification Bachelor's Degree in Accounting, Finance, Auditing, or Business Administration and two (2) years directly related work experience in accounting, auditing, finance, and/or budgeting. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling six (6) years may substitute for the required education and experience.Employment RequirementsMust possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within six (6) months of date of hire as a condition of continued employment. Working Conditions Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT), extensive personal computer and telephone usage with extending periods of sitting and lifting up to 25 lbs.
