Receptionist-DispatcherWe are expanding and evolving this critical role to act as both the operational engine and the financial anchor for our division. The Reception-Dispatcher role manages the administrative lifecycle of our projectsfrom the initial call intake down to final invoicing and payment matching.This role is divided between operational coordination and transactional accounting support. If you are highly organized, data-driven, possess an absolute "finisher" mindset, and love keeping QuickBooks and operational systems perfectly clean, this role is built for you.Department: MitigationReports To: Office ManagerLocation: 11442 N Carisa Ct., Hayden, ID 83835Job Type: Full-Time | On-SitePay: $18-$20/hourSchedule: Monday-Friday 9-5pmOn-Call Stipend IncludedWhat You'll DoIntake, Dispatch & File SupportFirst Notice of Loss (FNOL): Professionally and empathetically handle incoming emergency calls, gathering and documenting complete new loss information.Dispatch: Coordinate schedules and route production teams to new jobs.File Support: Build and maintain necessary project files and folders, while auditing and ensuring all mandatory project fields within Workcenter are thoroughly and accurately completed to maintain compliant, real-time job files.General Administrative Support: Other related operational tasks as assigned.Financial Support & Accounts Receivable (QuickBooks Online)Mitigation Payment Matching: Review inbound customer payments and accurately match them against corresponding QuickBooks Online (QBO) invoices for the Mitigation division.Reconstruction Invoicing: Create accurate invoices and process supplements within QBO specifically for Reconstruction projects.Mitigation Payment Processing: Formally receive customer payments and cross-reference/reconcile them against outstanding mitigation balances.What We ValueWe protect our corporate culture and hire strictly for fit.
