This role is responsible for managing incoming communications, coordinating conference room scheduling and hospitality services, and handling administrative support activities with a high degree of professionalism, discretion, and attention to detail. Success in this position requires strong organizational skills, the ability to manage multiple priorities in a fast-paced environment, and sound judgment in handling confidential and time-sensitive matters.\n\nCOMPENSATION: At Spencer Fane, we carefully consider a wide range of factors when determining compensation, including but not limited to location, skillset, experience, training, licenses, certifications and other business or organizational needs. Compensation will be determined based on the above factors along with the requirements of the position. We expect the hourly rate for this position to be between $23.00 and $28.00.\n\nBENEFITS: Medical, Vision, Dental, PTO, 401k, Life, Disability.\n\nPRIMARY RESPONSIBILITIES:\nGreet and assist clients, visitors, and employees in a professional, courteous, and service-oriented manner, ensuring a positive first impression of the organization.\nAnswer, screen, and route incoming and internal telephone calls promptly and accurately while maintaining professionalism and confidentiality in all interactions.\nManage conference room schedules and coordinate meeting logistics, including communication with Office Services and Hospitality teams regarding room setup and catering arrangements.\nReceive, track, and distribute incoming deliveries, including FedEx, UPS, courier packages, and other mail services.\nMaintain an organized and efficient reception area and ensure common areas reflect a professional business environment.\nProvide administrative and operational support for special projects and additional assignments as needed.\nBuild and maintain positive working relationships with attorneys, clients, vendors, and staff across all levels of the organization.\nExercise flexibility, initiative, and resourcefulness while effectively managing competing priorities and deadlines in a fast-paced environment.\n\nQUALIFICATIONS:\nEducation: High School Diploma or equivalent.\n\nEXPERIENCE, SKILLS & COMPETENCIES:\nExperience: Minimum 1+ years of receptionist, administrative support, customer service, or front desk experience required. Prior experience supporting operations within a professional services, corporate, or fast-paced business environment preferred.\nFront Desk & Administrative Coordination: Effectively manages daily reception responsibilities, including greeting visitors, answering and directing calls, coordinating conference room scheduling, and supporting office operations while maintaining professionalism and efficiency.\nOrganization & Prioritization: Maintains organized and efficient work processes while balancing multiple responsibilities, shifting priorities, and time-sensitive requests in a fast-paced environment.\nCommunication & Client Service: Builds positive working relationships through professional verbal and written communication, responsive follow-up, and a strong customer service orientation when interacting with clients, attorneys, visitors, vendors, and internal staff.\nProfessionalism & Judgment: Demonstrates professionalism, discretion, and sound judgment when handling confidential or sensitive information and responding to internal and external inquiries.\nAccuracy & Attention to Detail: Produces accurate and reliable work through careful attention to scheduling, message handling, visitor coordination, package tracking, and administrative support activities.
