About the Opportunity:
DMI, LLC is seeking a Executive Management II to join us.
Duties and Responsibilities:
Essential Functions
Administrative Support:
Provide administrative assistance, including writing and editing emails, drafting memos, developing meeting minutes, and preparing communications on the executive’s behalf.
Perform executive-level calendar management, including scheduling, de-conflicting, and prioritizing meetings on the executive’s behalf.
Communicate with stakeholders across organizational components and levels.
Track and maintain action items, prioritize action items, facilitate executive-level review, and provide recommendations on a daily basis.
Provide meeting management, including developing and distributing presentations and agendas, facilitating meetings, taking meeting minutes, and tracking action items on the executive’s behalf.
Coordinate travel arrangements on the executive’s behalf.
Advise executive-level staff by providing recommendations that consider risks, impacts, and feasibility.
Identify areas for process improvement and support the realization of those improvements through the development/updates of policies, procedures, tools, and templates.
Recognize strategic objectives and align these objectives with tactical actions.
Answer phone calls in a polite and professional manner.
Understand organizational policies and procedures to ensure the accuracy of solutions and deliverables to the client.
Demonstrate a commitment to quality and customer support.
Special Projects and Smartsheet Solutions:
Lead and execute special projects, including Smartsheet initiatives, under the direction of the OCIO by identifying opportunities for Smartsheet automations to enhance OCIO-wide operations.
Collaborate with developers to design custom Smartsheet tools and implement these tools.
Support gap analysis between strategic objectives and tactical actions.
Train staff and implement Smartsheet solutions to improve efficiency and productivity.
Qualifications:
Education and Years of Experience:
Bachelor’s degree
Five or more years of professional experience
Required and Desired Skills/Certifications:
Must be a U.S. Citizen and have the ability to pass a background check
Excellent written and verbal communication skills
Additional Requirements:
Two or more years experience supporting executive level staff
High proficiency with Smartsheet or Other Project management Tools
High proficiency in Google Suite
Min Citizenship Status Required: Must be a U.S. Citizen
Physical Requirement(s): The place of performance can include the contractor's workplace and/or NOAA office locations. In the event, work is performed at the NOAA office location it will generally take place at: NOAA Silver Spring Metro Campus, 1315 East West Highway, Silver Spring, MD 20910
Remote Work: Remote work is authorized for contractor staff that have government furnished laptops and will be approved at the discretion of the COR or TM.* Remote work will be monitored by communication (phone, email, instant messaging) and collaboration tools (audio and video conferencing). All remote access must comply with the Department of Commerce Information Technology Security Baseline Policy (ITSBP) Annex C-2: Remote Access. Remote work will not be authorized to prevent a leave of absence due to medical or personal situations.
Expected Travel: Up to 10%
