The Project Service Coordinator is responsible for the overall coordination of various activities to ensure the successful completion of operational projects. This includes coordination of subcontractors and project materials/logistics. The Project Service Coordinator may work independently or may support Project Managers, Field Service Managers or Support Specialists on assignments to specific client projects.This position will be a hybrid role based in one of the following office locations, Fort Worth, TX, Del Mar, CA, or Lakewood, CO.ResponsibilitiesSupports Project Managers, Operations Leaders, and others Team Leaders with monitoring and controls of project scope, schedule, and budget plansServes as a subject matter expert for the ERP system and processes and procedures relative to OperationsPerforms and/or supports project resource planning and scheduling as neededSupports and assists in the contract management processEnters Orders/Jobs into production system updating as advised relative to status, dates, shipping, and other pertinent informationCoordinates customer billing; prepares invoices and processes in timely fashionEnsures that time and expense charges to projects are accurate and conform to Qualus standards & policy and client contractsEnsures accurate creation of new project set up in ERP SystemEnsures thorough and accurate project closeoutAssists in the change order process and submittal and communicates statusProcess customer PO's as directed ensuring alignment of scope expectationsCoordinates material procurement and generates purchase orders. Confirms material orders and pricing meets with purchase requisitionsProvides support in tracking project deliverables using appropriate tools (may include working with and coordinating subcontractors)Monitor and report project status to Project Managers, Directors, Account Managers and other stakeholders as requiredProvides AR & AP support and monthly invoicing reviewControls production log for the location and leads production meetingsPerform other duties as assignedQualificationsBachelor's degree in Finance, Accounting, Business Administration or equivalent degree; minimum of 2 years of experience OR Associates degree; minimum of 4 years of experience OR High school diploma; minimum of 6 years of experienceExperience in Project coordination, budget/accounting coordination, financial management, tracking & analysis, analysis and application of operational reportsExperience in project management and/or operations management, or related industry experienceExperience working in Project Management applications and Enterprise Resource Planning (ERP) software (Microsoft Project, Primavera, Deltek)Proficient with MS Office tools (Work, Excel, Outlook) and ability to manage and analyze large quantities of dataKnowledge of both theoretical and practical aspects of project managementExperience with subcontractor management and/or procurement, technical projects and/or field construction operationsExperience with conflict management, risk management and change managementBenefits & CompensationQualus benefits offered include Medical, Dental, Vision, Life Insurance, Short and Long-Term Disability, 401(k) match, Flexible Spending Accounts, EAP, Parental Leave, Paid time off, and Holidays, for those who qualify.The final salary awarded for this role may vary from the above range based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
