The position also serves as a resource for basic employee documentation requests and acts as a backup for various HR front desk and coordination functions. A strong focus on confidentiality, organization, and collaboration is essential.\n\nResponsibilities:\nHuman Resources Support:\nAssist the Office of Employee Experience team with administrative tasks as needed\nResponsible for maintaining and auditing employee files on a regular basis\nBacks up the HR and Talent Center front desk as needed\nAssist with New Employee Orientation Activities\n\nLabor:\nRecords grievances into the tracking system. Schedules Step II & III grievance meetings and tracks grievances through all steps to closure\nPrepares material for biweekly Attendance Committee meeting, attends, and takes notes\nCalls employees when they are eligible to appear before the committee. Sends letters when they are not eligible to appear\nSupports the Job Bid process. Records internal employee job bids promptly. Participates in staffing meetings to discuss job openings and bids. Prepares, tracks, and collects employee transfer letters for managers and the recruiting team\nAttends and takes notes or minutes at a variety of other meetings and discussions. Examples include weekly grievance meetings, monthly Labor Management meetings, investigation interviews, disciplinary, and 8-factor meetings\nProvides basic letters for employees; i.e., employment status (active/term), hourly wage, etc.\nTracks PTO buybacks and prepares quarterly cash outs\nFills information requests for the union as assigned\nFiles and Scans Employee Documentation into their personnel files (Paper/iCIMS) and updates ADP\nMaintains confidentiality of employee information\nKeeps current on knowledge of applicable labor and employment laws\nMaintains knowledge of all union contracts and employee handbooks\n\nJob expectations for all employees:\nPromotes and role-models the mission, values, vision and strategic goals of Loretto in all interactions with staff, peers, residents, family members, vendors and visitors. Treats people with dignity, professionalism and kindness.\nDemonstrates excellent internal and external customer service skills such as friendly greeting, making eye contact, listening attentively, responding in a timely manner, showing respect and empathy and acting as a role model for staff and peers.\nDemonstrates excellent work attendance, reliability and work ethics.\nAttends and actively participates in required meetings and training sessions.\nComplies with established policies, procedures, and codes of conduct at all times.\nAdheres to all health and safety requirements, regulations, policies and procedures.\nPractices and teaches safety awareness. Identifies and reports or corrects any possible safety or environmental issues.\nUnderstands all HIPAA and other compliance & regulatory requirements associated with their role, including completion of required internal or external training/certifications.\nPerforms a variety of related duties as assigned.\nQualifications:\nAssociate’s degree in Human Resources, Business Administration, or a related field required\nMinimum of 2 years of experience in human resources, employee relations, or administrative support roles.\nAbility to maintain discretion and handle sensitive information appropriately.\nFamiliarity with labor laws, union contracts, and grievance procedures (desired, not required).\nProficiency in HRIS systems (e.g., ADP, iCIMS) and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).\nExcellent organizational skills with a keen attention to detail and accuracy.\nStrong written and verbal communication skills, including the ability to take clear and concise meeting notes.\nAbility to manage multiple priorities and meet deadlines in a fast-paced environment.\nDemonstrated ability to work collaboratively across teams and departments.\nCustomer service-oriented with a professional and empathetic demeanor.\n\nAn equivalent combination of education and experience that provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.\n\nPhysical Requirements\nWalking/Standing 15.00%\nSitting 80.00%\nLifting 5.0%\n\nThe above statements are intended to describe the general nature and level of work being performed.
