Office Administrator/Service Coordinator (Construction)
Job Summary
We are seeking a highly organized and detail-oriented Service Coordinator to join our team. The ideal candidate will provide essential support to our field operations, ensuring smooth day-to-day activities. This role requires excellent communication skills, proficiency in administrative tasks, and the ability to manage multiple responsibilities efficiently and quickly.
Duties
Coordinate and dispatch technicians for service calls
Communicate timely with customers via phone and email
Complete invoicing for customers
Handle phone systems with professionalism and directing calls appropriately.
Assist in onboarding new employees
Maintain organized electronic records to ensure easy access to information.
Collections
Manage daily time entries for technicians
Relaying customer requests to technicians
Asking questions to gather information from callers and prioritizing calls based on responses
Relaying information, such as work orders and background information, to and from work crews, Supervisors
Speaking with supervisors and customers to resolve problems, requests for services or equipment
Preparing daily work schedules
Creating or receiving work orders
Keeping accurate records of customer requests, completed work requests, charges for work performed, expenses for services performed and inventory records
Skills
Proficiency in Foundations Construction Software is preferred but not mandatory.
Familiarity with Job costing, cost coding and phase coding for construction jobs.
Strong phone etiquette with excellent verbal communication skills.
Experience in administrative duties including managing deadlines.
Competence data entry functions.
Excellent schedule management capabilities with the ability to prioritize tasks effectively.
Strong organizational skills and the ability to multitask
Job Type: Full-time
Pay: $50,000.00 - $70,000.00 per year
