Administrative Coordinator (New York)
We're seeking a highly organized and professional Administrative Coordinator to support a fast-paced academic and operational environment. This role will provide administrative, event coordination, and operational support to faculty, staff, students, and department leadership.Key Responsibilities:Coordinate logistics for departmental events, seminars, meetings, and recruitment activitiesManage hotel reservations, visitor schedules, catering, event space bookings, and A/V coordinationProcess honorariums and reimbursements for visitors and guest speakersSupport onboarding and offboarding processes for new personnelMaintain departmental records, databases, listservs, and calendarsCoordinate room reservations for courses, lectures, meetings, and special eventsCreate and distribute communications including emails, flyers, invitations, and announcementsMaintain department calendars and support ongoing scheduling needsProvide professional front desk and reception support for visitors and incoming callsManage departmental mail, office inventory, and supply orderingPrepare meeting materials and purchasing requisitionsAssist with admissions and visitor logistics as neededSupport additional administrative projects and responsibilities as assignedMust-Have Qualifications:High School Diploma requiredMinimum of 2 years of related administrative experience or equivalent combination of education and experienceStrong computer skills including Microsoft Office Suite, spreadsheets, databases, and general administrative systemsStrong organizational, communication, and multitasking abilitiesProfessional demeanor with strong attention to detailPreferred Qualifications:College coursework or degree preferredExperience with desktop publishing, communications, or graphic design preferredFamiliarity with website or content management systems is a plus
