Middle School/High School Administrative Assistant
Requirements: Administrative Writing Skills, Reporting Skills, Scheduling, Microsoft Office Skills (or similar programs), Professionalism, Confidentiality, Organization, Typing, Verbal Communication, previous office experience.Summary description: Primary office secretary responsible for the organization, management, completion of tasks, cleanliness, and day-to-day operation of the front office.Primary Responsibilities:Primary contact for MS/HS department office visits and phone callsDeliver or assign personnel to deliver messages either via phone intercom or personally to classroom or individualOrganize the schedule and communicate the details regarding Parent/Teacher Conferences for 6th-12th Grade- Check/collect weekly lesson plans for completion, standards, etc.Check grades and make sure grades are submitted by report card datesOversee Report Cards and Failing Lists- Create and distribute monthly rotation calendarsMonitor ProgressBook (Student information System) for set-up, timely entries, assignment posting, etc.Gather testing materials prior to testing months and distribute during testing monthsOrder Instructional Supplies on a department-wide basis (zipper binders, student planners, House bandanas, headphones, etc)Maintain RISE BoardAssist with planning student events (ie, Merit Day, Assemblies, etc.)Facilitate the Middle School House Program (tracking points, updating scores, planning House parties)Assist with staff meetings (meeting notes, etc)Prepare all student awards quarterly- Facilitate school-wide morning announcementsManage the use of Classroom Budgets and purchasing of items for MS/HS teachers-Maintain inventory of upstairs teachers lounge supplies and restock when necessaryEmail information updates and other pertinent information to Business Office, Administration, and staffAssist administration with events and upcoming tasksAssist with compiling MS/HS monthly newslettersMaintain a neat and organized office area for a professional appearance. Student Services ItemsSchedule IEP, 504, ETR, etc. meetingsSchedule school psychologist evaluationsReview 504s on a biannual basisDouble-check paperwork and track of deadlinesRun reports for compliance and other reporting as neededOrdering of SPED/ELL materials and tracking budgetsTrack what testing needs to be completedOrganizing/filing/scanning paperworkGather testing materials and assign students/staff small group state testing.Professional DevelopmentObserve and collaborate with others in your area of specializationAttend professional development opportunities throughout the school year or summer for your continuous improvementReflect and self-evaluate often.Additional ItemsBuild a relationship with students and parents so that they know you want only the best for the studentSubmit all required items to administration in a timely mannerReturn all communication to parents within 24 hours of receiving itBe supportive of the PPA team at all times, but especially when speaking to parents and students Communicate with the supervisor in regards to staff not following policies of PPAComplete anything assigned by your supervisor.
