Under the direction of the Customer Service Manager, the Project Management Administrator works closely with the Project Managers (PMs) by handling clerical duties, reports, and other tasks essential to the functions of the Project Management Department.\r\nPrimary Duties and Responsibilities\r\nEnter sales re-orders into enterprise resource planning (ERP) system and create order confirmations.\r\nCreate job packets and other necessary paperwork and details for Production to fulfill orders efficiently and accurately.\r\nQuality Control (QC) check work order packets entered into the ERP by other members of the Project Management team to ensure all information is accurate for production.\r\nRequest preflights from Prepress Department.\r\nRequest and compile color drawdowns from Ink Department.\r\nAssist PMs with various customer mailings including but not limited to assembling hard copy proofs, color drawdowns, and print samples and packing up customer packages and preparing them for shipment.\r\nMaintain weekly shipping request log and follow up with PMs as needed.\r\nAssist with maintaining customer open order and finished goods inventory reports.\r\nUpdate items for re-make plates requests from Production.\r\nAct as back-up for PMs as needed (i.e., act as back-up point-of-contact for internal and external customers when PMs are out of the office or otherwise unavailable).\r\nEnsure that all company food safety and quality assurance procedures are followed at all times.
