Title: ARD Scheduler - Special ProgramsJob Title: SecretaryReports to: Department Director AssignedPrimary PurposeUnder moderate supervision organize and manage the Special Programs files, ARD scheduling and provide clerical support to a director or department head and other sta? members.Quali?cations:Education/Certi?cation:High school diploma or GEDSpecial Knowledge/SkillsPro?cient skills in keyboarding, data entry, word processing, and electronic ?le maintenance Ability to use software to develop spreadsheets and databases and do word processing Ability to prioritize work?ow to address the multiple needs of the supervisor or the department Ability to multi-task numerous complex administrative activitiesBasic math skillsE?ective communication and interpersonal skillsExperience2 years secretarial experience and/or experience in Special Education (preferred)Major Responsibilities And DutiesRecords, Reports, and CorrespondencePrepare correspondence, forms and reports for the department head and other department sta?Compile, maintain, and ?le all reports, records, and other documents electronically asCompile and crosscheck reports in Infinite Campus, X-LOGS and FrontlineMaintain inventory of o?ce supplies and programSchedules or assists, ARD meetings and notifies parents of ARD meeting, including distribution of ARD calendar to appropriate ARD member(s).OtherAnswer and respond to incoming calls, take reliable messages, and route to appropriate sta?.Maintain the ARD schedule for all campuses including, but not limited to, initial or rescheduled ARD meetings or other meetings.Make meeting arrangements for department activities including preparing materials, schedule and setting up facilities , and arranging equipment (as needed).Receive, sort, and distribute mail and other documents to departmentMaintain confidentiality ofFollow district safety protocols and emergencySend parent surveys after meetings,Review and crosscheck ARDSupervisory ResponsibilitiesNone.Mental Demands/Physical Demands/Environmental FactorsTools/Equipment Used: Standard o?ce equipment including personal computer and peripheralsPosture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twistingMotion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reachingLifting: Occasional light lifting and carrying (less than 15 pounds)Environment: May work prolonged or irregular hours; occasional districtwide travelMental Demands: Work with frequent interruptions; maintain emotional control under stressFull-Time Per YearSPECIAL PROGRAMS
