Job Description We are seeking an Events Coordinator Contractor to join our dynamic team supporting our client project. The ideal candidate will have strong experience in administrative assistance, event logistics, and vendor coordination, and a proven ability to deliver seamless attendee experiences while managing budgets, communications, and timelines. Responsibilities: Plan and organize event logistics including venue selection, catering, transportation, and on-site support. Coordinate with vendors and service providers to ensure timely delivery of event services. Manage event registration, attendee communications, schedules, agendas, and event materials. Monitor event budgets and expenses to ensure cost-effective execution. DTickets Ticket Administration Contractor - Role Summary The DTickets Ticket Administration Contractor provides operational, administrative, and project support for DTickets portfolio management, including inbox management, TicketManager operations, reconciliation support, communications, and cross-functional coordination to ensure timely and accurate ticketing services. Key Responsibilities: Ticketing Operations & Inbox Management: Manage the DTickets shared inbox, categorize inquiries, respond to TicketManager questions, troubleshoot issues, and escalate critical items. Ensure timely responses for urgent requests within 48 hours of event dates and maintain mailbox ownership. TicketManager Administration: Monitor new orders, act per approval protocols, initiate payment communications for personal purchases, resolve system issues via proxy or admin access, maintain ticket inventory by market/portfolio, and coordinate distribution including parking and catering. Reconciliation & Financial Support: Support reconciliation for season tickets, VIP and personal purchases, monitor priority financial communications, liaise with Finance on submission periods, prepare Excel reports with WBS breakdowns, and manage priorities to meet reporting deadlines. Communications, Documentation & Projects: Support projects using Microsoft Excel, Word, PowerPoint, and Teams, create and review outbound communications, maintain Teams portfolio folders, and guide requesters on post-event survey completion. Coverage & Operational Continuity: Provide portfolio coverage during PTO or leave, send weekly communications and reconciliation notices, coordinate personal payment communications and late purchases, and manage inventory updates and marketplace postings. Feedback, Issue Resolution & Leadership Support: Collect and summarize user feedback, troubleshoot application issues, support project planning and risk mitigation, provide status updates, and perform ad hoc duties as needed. Required Skills & Qualifications: Advanced administrative assistance with 6-9 years of experience. Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Teams. Strong written and verbal communication, adaptability, active listening, and critical thinking. Bachelor's degree and a minimum of five years in operations or customer service. Hospitality experience preferred. Availability to work nights and weekends based on event schedules. Preferred Skills: Experience with TicketManager or similar ticketing systems.
