Ideal for someone who thrives in a fast-paced, high-touch environment, anticipates needs before they arise, and can balance day-to-day executive support with project coordination responsibilities, this role is designed to evolve over time. As the Executive Assistant builds context, trust, and familiarity with the business, responsibilities will increasingly center on more dedicated focus and support for the CEO.\nThe Executive Assistant will play a critical role in helping executives operate efficiently, stay organized, and remain focused on strategic priorities. The right candidate will bring strong judgment, exceptional attention to detail, discretion in handling confidential information, and the ability to interact professionally with senior leaders, advisors, clients, and external partners.\nPrimary Responsibilities:\nExecutive Support\nProvide high-level administrative support to designated members of the Executive Leadership Team.\nManage complex calendars, including scheduling internal and external meetings, prioritizing requests, and resolving conflicts.\nCoordinate travel arrangements, including flights, hotels, transportation, and detailed itineraries.\nPrepare and process expense reports in a timely and accurate manner.\nSupport meeting preparation by gathering materials, creating agendas, preparing presentations, and organizing follow-up items.\nMonitor and help manage executive inboxes as needed, including drafting responses, flagging priorities, and tracking action items.\nServe as a trusted liaison between executives and internal or external stakeholders.\nHandle sensitive and confidential information with professionalism and discretion.\nExercise strong judgment in managing executive priorities, proactively anticipating needs and resolving issues before escalating.\nAct as a gatekeeper of time for the CEO, helping to evaluate, prioritize, and sequence requests in alignment with business priorities.\nPartner closely with the CEO to ensure meetings, materials, and follow‑ups are aligned to strategic objectives.\nAdministrative and Operational Coordination\nHelp coordinate on-site meetings, leadership sessions, and other in-person events\nMaintain organized files, records, and documentation for executive and project-related work.\nAssist with vendor coordination, document preparation, and other administrative processes as needed.\nIdentify opportunities to improve administrative workflows and create efficiencies for leaders and teams\nBasic Qualifications:\n10+ years of experience in an executive assistant, senior administrative, or similar support role, preferably supporting senior executives.\nExperience supporting multiple leaders in a fast-paced, professional services or corporate environment preferred.\nStrong calendar management and travel coordination experience.\nDemonstrated ability to manage competing priorities and adapt quickly to changing needs.\nExcellent written and verbal communication skills.\nStrong organizational skills and exceptional attention to detail.\nHigh degree of professionalism, judgment, and discretion.\nProficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel.\nAbility to work independently while collaborating effectively across teams and functions.\nPreferred Skills:\nPrior experience supporting C-suite or executive leadership team members.\nExperience with project coordination or supporting strategic initiatives.\nDemonstrated ability to operate with authority, discretion, and independent judgment in support of senior executives.\nExperience in financial services, wealth management, or another highly relationship-driven professional services environment.\nFamiliarity with meeting and expense management tools and collaboration platforms such as Microsoft Teams.\nEmployee Benefits\nAt Choreo, we provide a holistic, total reward offering to empower our teams in their professional and personal lives.
