This hybrid role blends business analysis, application support, and administrative operations, ensuring smooth communication, reliable follow-up, accurate documentation, and timely execution of high-priority tasks.\n\nThe coordinator will play a critical role in supporting mission-critical applications (such as WAM and CC&B), assisting with hardware lifecycle activities, as needed, and managing operational and administrative processes that help the division deliver high-quality technology services.\n\nThis contractor position requires punctuality, strong attention to detail, excellent organization, and the ability to meet multiple high-priority deadlines.\n\nKey Responsibilities\nOperational Coordination & Business Analysis\nServe as a liaison between technical and non-technical teams, ensuring clear communication and alignment with business outcomes.\nCoordinate and track competing priorities across interdisciplinary teams, ensuring timely completion of assignments and action items.\nGather business needs from WSD units and translate them into clear, actionable requirements for technical teams.\nPrepare business cases, requirements documentation, user stories, workflows, and executive summaries.\nSupport TSD governance activities by assisting with documentation review and adherence to IT audit and compliance requirements.\nMaintain structured cadences of updates through status meetings, progress reports, and stakeholder communication.\n\nApplication & Technology Support\nProvide operational support for WSD applications such as WAM, CC&B, and other critical systems in coordination with TSD Applications and Infrastructure teams.\nAssist with hardware management tasks (intake, tagging, imaging coordination, inventory updates, and deployment scheduling), as needed.\nCollaborate with TSD team members on technology lifecycle activities as needed.\n\nAdministrative & Operational Support\nCoordinate calendars, meetings, and logistics for TSD leadership.\nGenerate, submit, and track purchase orders, payment requests, and procurement documentation.\nMaintain organized documentation control, review policies, and assist in the development of procedures.\nSupport inventory processes, records management, SharePoint content updates, and division coordination duties.\nProvide operational support across governance, applications, and hardware teams as needed.\nBudget & Procurement Support\nPerform SAP/SRM budget review, shopping cart creation, purchase tracking, and fiscal coordination.\nWork closely with TSD leadership and the budget team to ensure accuracy of expenditures and adherence to procurement requirements.\nAssist with contract coordination and vendor documentation as required.\n\nRequired Qualifications\nReliable attendance and strict punctuality (this is a fully in-office role).\nStrong background in business analysis, operations, technology coordination, or administrative support within a municipal, enterprise, or utility environment.\nDemonstrated ability to manage multiple priorities in a fast-paced environment.\nExcellent follow-up skills and attention to detail, with proactive issue tracking.\nExceptional written, verbal, and interpersonal communication skills.\nStrong organizational skills and the ability to stay ahead of deadlines.\nProficiency with Microsoft Office (Word, Excel, PowerPoint).\nExperience working directly with technical teams and translating business needs.\n\nPreferred Qualifications\nExperience with SAP/SRM, especially shopping carts, budget oversight, and purchase order processing.\nFamiliarity with WSD operations or other utility or municipal workflows.\nUnderstanding of IT governance, audit practices, or compliance procedures.\nExperience supporting enterprise applications (WAM, CC&B, GIS, billing systems, etc.).\nKnowledge of procurement workflows, contract coordination, and policy development.\nStrong problem-solving skills and the ability to work independently with minimal supervision.\nAbility to work collaboratively with diverse teams and build strong relationships across the division.\n\nIdeal
