You’ll provide administrative and systems support for repair and maintenance (R&M), capital expenditure (CapEx), lender-required, insurance-related, and other facilities projects while helping maintain accurate records, budgets, documentation, and reporting.\nYou’ll also play an important role in the administration of our facilities management platform, working closely with project managers, field operations, Accounting, Asset Management, vendors, and other stakeholders across the organization.\nWhat You’ll Do\n\nProvide day-to-day administrative and project support to the Facilities Manager and field-based project managers across a 210+ property portfolio.\nMaintain accurate project records and documentation, including contracts, invoices, permits, warranties, lien waivers, insurance documents, and project closeout materials.\nTrack project deadlines, approvals, outstanding documentation, and action items while following up with the appropriate teams and vendors.\nSupport R&M and CapEx projects from initial setup through completion and closeout.\nAssist with budgets, invoices, purchase orders, project cost tracking, reconciliation, and other accounting-related processes.\nServe as a key administrative resource for the facilities management software platform, including user access, project setup, data integrity, reporting, troubleshooting, and vendor coordination.\nPrepare and distribute reports used for project tracking, budget oversight, accounting follow-up, and leadership reporting.\nHelp onboard and train team members on the facilities management platform and maintain user guides and training materials.\nSupport vendor recruitment, qualification, onboarding, insurance documentation, and database management.\nCoordinate with field operations, Accounting, Asset Management, vendors, lenders, insurance contacts, and other stakeholders to keep projects moving forward.\nAssist with department meetings and project status calls, including preparing materials, tracking action items, and coordinating follow-up.\nIdentify opportunities to improve administrative processes, reporting, and the overall use of facilities technology.\nWhat We’re Looking For\n\n3–5 years of experience in facilities administration, property management administration, project administration, or a similar role.\nExperience supporting a multi-site real estate, property management, self-storage, or facilities environment is preferred.\nHands-on experience with a facilities management software platform such as ServiceChannel, FacilIQ, Yardi, or a similar system is required. Platform administrator or power-user experience is strongly preferred.\nAdvanced proficiency in Microsoft Excel, including tracking spreadsheets, pivot tables, and reporting tools.\nFamiliarity with R&M and CapEx projects within commercial real estate, facilities, or property management.\nExperience supporting vendor onboarding, certificate of insurance tracking, and vendor database management.\nComfortable working with budgets, invoices, purchase orders, and project cost tracking.\nStrong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.\nStrong communication skills and the ability to work effectively with field teams, internal departments, vendors, and other stakeholders.\nProficiency with Microsoft Outlook, Word, Teams, and other standard business applications.\nAssociate’s or Bachelor’s degree in Business Administration, Facilities Management, Real Estate, or a related field is preferred; equivalent relevant experience will also be considered.\nWhy This Role Matters\nWith facilities projects happening across more than 210 properties nationwide, strong organization and communication are essential.
