Compliance Coordinator
Position Summary:The Quality, Compliance & Administrative Coordinator is responsible for supporting and maintaining key administrative and controlled systems associated with document control, training records, supplier compliance documentation, preventive maintenance tracking, and regulatory/audit support. This position supports the integrity of Global Packaging’s quality and compliance programs through accurate recordkeeping, controlled document management, management review reporting, and coordination of system activities across departments.This role interfaces regularly with Quality, Operations, Maintenance, Purchasing, Account Management, and Leadership to support compliance with internal procedures, customer requirements, and applicable certification standards.Essential Duties and Responsibilities include the following:Document Control / Quality SystemsMaintain document control system for SOPs, work instructions, forms, logs, and related controlled documentation.Format, revise, issue, and archive controlled documents.Track document revisions and maintain revision history logs.Maintain document master index and ensure current revisions are properly issued.Route documents for review and approval; follow up on approvals and signatures.Compile departmental feedback and support document updates.Support preparation for internal, customer and certification auditsAssist with organization of audit records, evidence files and response documentationAssist with traceability exercise documentation and associated record retention.May be asked to assist with internal compliance audits and related follow-up activitiesTraining AdministrationMaintain training records within LMS and/or internal tracking systems.Assign training modules and monitor completion status.Send training reminders and follow up on overdue training.Compile and file completed training acknowledgments.Generate training compliance reports for management review.Support onboarding documentation and required compliance training records (GMP, Allergen, Pest Awareness, etc.).Supplier / Regulatory DocumentationTrack and maintain vendor regulatory documents, certifications, and supporting compliance records.Request annual supplier certifications and regulatory statements during scheduled review cycles.Maintain approved supplier documentation files and supporting records.Monitor expiration dates and request updates as needed.Assist with collection and filing of supplier and customer Certificates of Insurance.Maintain internal and customer-facing regulatory documentation files, including letters of guarantee, certificates of compliance, and technical support documentation.Corrective Action SupportMonitor Corrective Action log(s) and track completion status against targeted timing requirements.Maintain records and reports supporting completion status.Escalate overdue corrective actions and support follow-up through timely closure.Support reporting of CAPA status during Management Review, Departmental Meetings and Audits.Reporting / Data ManagementSupport data entry and maintenance within internal systems (GPI or related systems).Prepare and distribute recurring reports related to quality metrics, inventory monitoring, prepress invoice reconciliation and scrap pricing.Assist with KPI tracking and reporting, including quality and environmental/sustainability metrics.Assist with review of department reports and flag exceptions or anomalies related to critical quality and compliance activities.Administrative / Department SupportAttend meetings, capture minutes, distribute summaries and track action items.Assist with creation, tracking, filing, and renewal monitoring of NDAs.Provide administrative support related to compliance systems, records management, and departmental initiatives.Perform other duties as assigned in support of Quality and Compliance programs.Required Knowledge and Skills:Experience supporting document control, training administration, quality systems, or compliance programs preferred.Strong organizational skills and attention to detail.Ability to manage multiple deadlines and maintain accurate records.Proficiency in Microsoft Office (Word, Excel, Outlook) and database systems.Ability to generate reports and analyze basic compliance or operational data.Strong written and verbal communication skills.Ability to work effectively across departments in a team environment.Ability to handle confidential and controlled records with a high degree of accuracy and discretionFamiliarity with controlled document systems, audit environments, or manufacturing quality systems preferred.Experience with LMS, ERP/production systems, or maintenance tracking systems preferred.
