This role involves coordinating project activities, managing safety aspects, maintaining project documentation, tracking progress, and facilitating communication between team members and stakeholders for a capacity increase project for Optical Fiber Cable operation. The Project Administrator plays a key role in ensuring efficiency and organization throughout the project lifecycle. In addition, this role also provides technical support on the floor for equipment installation and troubleshooting.\nKey Responsibilities:\n1.Administrative Support:\nAssist the project manager(s) and team in daily administrative tasks.\nManage safety aspects of the project.\nManage project schedules, deadlines, and calendars.\nOrganize and schedule meetings, including preparing agendas and taking minutes.\nOversee correspondence and communication for the project team.\n2.Day to Day Support\nSafety paperwork management for contractors.\nPSSR management and document notebook for each line.\nAll ordering request both equipment and team needs.\nInventory tracking.\nShipping and movement of materials between plant for conversion setups.\nAssist with parts movement between plants for builds.\nAssist each team as needed.\n3.Documentation and Reporting:\nMaintain accurate and up-to-date project documentation, including plans, contracts, budgets, and reports.\nTrack project progress and milestones, ensuring key deliverables are met on time.\nPrepare regular status reports for stakeholders.\n4.Coordination and Communication:\nFacilitate communication between project team members, departments, and external stakeholders.\nCoordinate resource allocation and ensure team members have the tools they need to complete tasks.\nFunction as the point of contact for project-related inquiries.\n5.Budget and Resource Management:\nMonitor project budgets and expenses, ensuring costs remain within agreed limits.\nProcess invoices, purchase orders, and other financial documentation related to the project.\n6.Risk Management:\nIdentify potential risks or issues and escalate them to the project manager as needed.\nSupport the team in implementing contingency plans to mitigate risks.\n7.Compliance and Quality Assurance:\nEnsure all project activities comply with company policies and industry standards.\nMonitor the quality of deliverables to ensure they meet agreed-upon standards.\nAdministrator\n1. Project Coordination & Administration Experience\nMust have experience supporting engineering, manufacturing, installation, or capital projects. Previous Project Coordinators, Project Engineers, or Project Managers are ideal.\n\n2. Exceptional Organizational Skills\nCandidate will manage project paperwork, installation binders, checklists, safety documentation, and project records.\n\n3. Manufacturing/Industrial Environment Experience\nStrong preference for candidates from manufacturing, engineering, plant operations, industrial, fiber optics, automotive, aerospace, or related industries.\n\n4. Strong Microsoft Excel & Office Skills\nMust be proficient in Excel (VLOOKUPs, Pivot Tables, formulas), Word, PowerPoint, Outlook, and OneNote.\n\n5. Procurement, Ordering & Inventory Management\nExperience ordering parts, tools, supplies, tracking inventory, matching parts to documentation, and managing receipts/orders.\n\n6. Mechanical Aptitude\nShould be able to understand drawings/prints, identify machine components, bearings, and replacement parts, and support engineers with sourcing equipment parts.\n\n7. Self-Starter with Strong Ownership\nNeeds to work independently, solve problems, stay proactive, and support multiple teams without constant supervision.\n1. Hands-On & Floor Support Mindset\no This is not a desk-only role. Approximately 50% of the time will be spent on the manufacturing floor supporting equipment installations and project teams.\n2. Preferred Tools & Systems\no SAP and SharePoint experience are strong pluses.
