Job Summary The Logistics Specialist is responsible for managing the efficient and timely delivery of customer orders from receipt to final delivery. This role involves coordinating the entire order fulfillment process by working closely with multiple teams, including sales, manufacturing, shipping/receiving and customer service. The Logistics Specialist reviews incoming customer orders to ensure accuracy and completeness, verifies order details such as specifications, quantities, and delivery requirements, and promptly addresses any issues or discrepancies to maintain a high standard of service and customer satisfaction. Supervision Exercised N/A. Duties and Responsibilities Shipment Coordination: Oversee daily order fulfilment. Coordinate and consolidate both incoming and outgoing domestic and international shipments. Verify transport needs based on customer order requirements and site restrictions. Research transportation methods and schedules to optimize and consolidate shipments when possible. Ensure the customer’s ability to unload shipments at the time of delivery. Cost Management and Performance: Audit carrier costs and performance to ensure the best cost while fulfilling transportation needs. Verify and code freight invoices for processing for accounting. Ensure shipping costs are appropriately absorbed or applied to customer orders. Compliance and Documentation: Work closely with internal teams, freight forwarders, and customs brokers to ensure compliance with U.S. import regulations. Prepare necessary documents for domestic and international shipments. Coordinate incoming and outgoing international supplier shipments with freight forwarders/customs agents to confirm all documentation is correct. Review terms and conditions, letters of credit, Incoterms, etc. Communication and Coordination: Keep key customer contacts updated on delivery schedules. Communicate changes and progress as required with internal teams. Confer with manufacturing, order processing, sales, service, and shipping departments. Order Processing: Route orders to specific departments for fulfillment and follow up to ensure delivery by specified dates. Capture and execute all necessary transactions within Syteline (ERP system) to ensure accurate data. Customer Service: Conduct all communications, including phone calls, with courtesy and professionalism. Address any order-related issues or discrepancies in a timely manner. Strategic Focus: Understand and prioritize company goals, ensuring that all activities align with these objectives. Other Responsibilities: Perform other duties or special projects as required or assigned. Qualifications and Education Requirements Education Requirements: High school diploma or equivalent required. College degree preferred. Experience: 2-3 years of customer service experience. 3-5 years of domestic and international shipping experience. Hands-on knowledge of both ocean and air cargo. Licenses/Certifications: None required. Knowledge, Skills and Abilities: Working understanding of international trade rules and fair trade agreements. Working understanding of international import/export and incoterms. Strong organizational and multitasking skills, with the ability to manage multiple orders and priorities simultaneously. Strong interpersonal and customer service skills. Excellent communication and interpersonal skills to effectively interact with customers, internal teams. Ability to solve problems and deal with a variety of changing customer requirements. Versatile, flexible and willing to work within a dynamic environment. Attention to detail and accuracy in processing and documenting order information. Knowledge of transportation regulations and compliance requirements. Detailed and results oriented; follows through to resolve any/all outstanding issues. Proficient with Microsoft Office (outlook, excel, work and power point, etc. Physical Demands / Work Environment While performing the duties of this job, the employee works near moving mechanical parts. Work at a computer 6-8 hours per day, with substantial time spent on the telephone. The noise level in the work environment can be loud. Ability to lift up to 10 lbs. on an occasional basis.
