Job DescriptionWe are seeking a Receptionist to join our team. The ideal candidate will have experience in front desk operations, multi-line phone systems, and customer service, and a proven ability to manage visitor flow, route communications accurately, and complete clerical tasks with accuracy.Responsibilities:Greet and direct office visitors and announce arrivals to appropriate personnel.Operate a multi-line phone system, answer incoming calls, determine purpose, and route to the correct department or voicemail.Retrieve and forward voicemail messages and take and deliver written messages as needed.Provide organization information, including address, directions, and general inquiries.Monitor visitor access, issue passes, update appointment calendars, and prepare travel vouchers.Process payments for services and products in accordance with procedures.Receive, sort, and route mail and publications; manage incoming and outgoing faxes and maintain fax machines.Create and print fax cover sheets, memos, correspondence, reports, and related documents.Order, receive, and maintain office supplies and inventory records.Perform clerical duties including filing, photocopying, and collating.Work on standard problems and escalate non-standard issues per guidelines.Physical Requirements:Sit, talk, and hear regularly; occasional walking, stooping, kneeling, crouching, or crawling.Occasionally lift or move up to 10 pounds; close vision and ability to adjust focus required.Required Skills & Qualifications:Proficiency with Microsoft Office applications.Reading comprehension to interpret safety rules, operating instructions, and procedure manuals.Ability to write routine reports and correspondence with proper grammar and clarity.Ability to speak effectively with customers and employees, including group settings.Basic math skills including percentages, proportions, and geometry; ability to present numerical data effectively.Problem solving with practical judgment and the ability to interpret written, oral, diagram, or schedule instructions.Customer service focus with timely responses and follow-through on commitments.Teamwork, tact, and professionalism under pressure; active listening and conflict resolution.1–2 years of related experience; High School diploma or equivalent.Preferred Skills:Experience handling multi-line call volumes in an office or reception environment.Familiarity with visitor management systems and appointment scheduling tools.Language Proficiency:English: Speak, Read, Write.
