Administration Manager

APAFSS needs a full-time, friendly, and professional Administration Manager with exceptional leadership and communication skills, who works well with diverse personalities. The ideal candidate can multitask while managing multiple deadlines, has a desire to learn and grow with the organization, and can lead the administrative team to success.
Job Summary
The Administration Manager ensures the administrative team has clear direction and adequate support to work efficiently while undertaking administrative tasks. They assist with coordination throughout our organization.
Duties/Responsibilities
Manage and lead administration tasks across all offices and locations
Create project schedules, with milestones, due dates, and resource needs
Assist DFO with documentation for various project phases, creating summary reports for the management team
Support DFO with monthly client invoicing
Partner with programs, case managers, and staff to understand needs and provide key-go-to support
Promote and facilitate team collaboration, building relationships, and exemplifying corporate values
Plan, coordinate, and oversee offices and organizational events
Manages, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, staff benefits, retirement plan, and work assessments.
Review, format, and produce reports
Complete special project assignments, policies and system implementations
Responsible for digital file management, including archiving
Support the APAFSS’s human resources and operations, enhancing professional development, compensation and benefits, Employee Handbook, personnel files, performance evaluation, training, and recruiting
Ensure awareness of and compliance with federal, state, and local labor laws and regulations that impact non-profit organizations
Process Workers’ Compensation paperwork with the insurance company, management of Certificates of insurance such as requesting, obtaining, and distribution
Ensure office organization, oversee maintenance of office equipment and supplies
Monitor office budget by managing expenditures and variances analysis
Perform other duties as assigned
Required Skills/Abilities
Proficiency with Google Suite; aptitude to learn other software programs
Excellent communication and interpersonal, analytical, and organizational skills
Natural problem-solver, collaborator, and bridge-builder with the ability to navigate challenges, build credibility, and effectively communicate with all levels
Research, analyze, and summarize data, and prepare accurate and logical reports
Keen time management skills, meeting timelines, and due dates
Present a professional manner and possess an energetic attitude
Ability to lift and/or move up to 25 pounds with physical capability to perform job-related duties
Education and Experience
Bachelor’s degree in business administration or related field preferred
Four or more years of similar experience strongly preferred
Knowledge of the non-profit sector is a plus
APA Family Support Services (APAFSS) is a community-based organization focused on preventing and identifying child abuse/neglect in the community. Our mission is to promote healthy children and families by providing family support services to prevent child abuse and domestic violence, and to advocate for culturally competent services through education, community building, and leadership development.
We accomplish this through case management and family support services at our family resource centers. By providing parents with a safe and welcoming place outside of their homes, they increase their social circles and have a forum to gain their voice.
