Job Description We are seeking a professional and bilingual Receptionist to serve as the first point of contact for customers, vendors, drivers, and visitors. This position supports front office operations, mail distribution, document control, and provides assistance to the Accounting department with Accounts Receivable and Accounts Payable tasks.This role is ideal for someone who is organized, personable, detail-oriented, and comfortable working in a manufacturing environment. Bilingual Requirement:Spanish/English requiredItalian/English plus Essential Duties & ResponsibilitiesGreet customers, vendors, drivers, and visitors in a professional mannerAnswer and direct incoming phone callsManage general office email inquiriesMaintain a clean and organized reception and conference areaCoordinate visitor sign-in proceduresReceive, sort, and distribute incoming mail and packagesPrepare outgoing mail and courier shipmentsMaintain mail logs and documentation when requiredMonitor office supplies and assist with orderingScan, file, and maintain physical and electronic recordsOrganize vendor and customer documentationAssist with document preparation and data entryMaintain confidentiality of employee and financial recordsAssist with preparing and distributing customer invoicesSupport follow-up on past-due accounts and maintain updated customer filesMatch invoices to purchase orders and receiving documentationPrepare supporting documentation for check runsMaintain organized and up-to-date customer and vendor filesPerform other related administrative duties as assigned.
