The role works closely with borrowers, Loan Originators, housing counselors, title companies, contractors, and external partners to ensure files move efficiently through the pipeline. The ideal candidate demonstrates strong customer service skills, attention to detail, and the ability to manage multiple deadlines in a fast-paced, mission-driven environment.\nPrimary Duties and Responsibilities\nLoan & Grant Processing\nCollect, review, and organize borrower and program documentation.\nReview applications for completeness and accuracy.\nTrack outstanding conditions and follow up with applicants and third parties.\nAssist with disclosures, processing documents, and file preparation.\nSupport intake and processing for grant-funded programs and special initiatives.\nMaintain accurate electronic and physical loan files.\nClosing Coordination & Compliance\nCoordinate closings with title companies, attorneys, mobile notaries, and internal staff.\nPrepare and review Closing Disclosures and closing packages for accuracy and compliance.\nCoordinate funding requests and disbursements with accounting and leadership.\nEnsure all pre-closing conditions, insurance, title, and recording requirements are satisfied.\nReview executed closing packages and prepare files for post-closing and servicing.\nAssist with recording mortgages, liens, UCC filings, and related documents as applicable.\nOperations Support\nMaintain pipeline and status updates within Salesforce, Calyx, and internal tracking systems.\nAssist with internal reporting, audits, and program compliance tracking.\nSupport communication between lending, counseling, real estate, and program teams.\nParticipate in outreach events and workshops as needed.\nPerform other duties as assigned.\nEssential Knowledge and Skills\nHigh School Diploma required\nMinimum 2 years of experience in mortgage lending, banking, grants administration, housing programs, or related field preferred.\nBilingual English/Spanish required.\nExperience with mortgage processing and closing coordination preferred.\nExperience with Salesforce, Calyx Point, or similar systems preferred.\nStrong organizational, communication, and time management skills.\nHigh attention to detail and accuracy.\nAbility to manage multiple files and deadlines simultaneously.\nAbility to work independently and collaboratively in a team environment.\nSpecial Working Conditions\nWillingness to work flexible hours, including occasional evenings and weekends.\nAccess to reliable transportation and ability to travel locally as needed.\nBenefits\nMedical (HDHP, HMO, PPO)\nDental and Vision\nLife Insurance and AD&D\nShort- and Long-Term Disability\n403(b) Retirement Plan\nFlexible Spending and Dependent Care Accounts\nTransit Benefit\nWork Schedule & Location\nThis is a hybrid position requiring a minimum of three (3) days per week in the office and up to two (2) remote workdays, subject to business needs and supervisory approval.
