Role: Administrative Coordinator / Administrative AssistantLocation: Elma, NY 14059Shift: Part Time (20hrs/week) 10 :00 am - 2:00 pm Mon - FriDuration: 12 months with possible extensionOverview:Provide comprehensive administrative and coordination support to assigned teams under general direction. This role involves managing schedules, coordinating meetings and events, handling travel arrangements, and ensuring smooth day-to-day operations through effective organization and communication.Key Responsibilities:Coordinate meetings, events, and team activities including catering and logisticsManage calendars, schedule appointments, and organize team activitiesBook travel arrangements and process expense reports in a timely mannerDraft, format, and distribute documents, memos, and communicationsOrder office and event supplies and coordinate with vendorsCollaborate with internal teams and other administrative staffEnsure administrative processes are completed efficiently and on scheduleMaintain responsiveness and provide support to stakeholdersRequired Qualifications:Associate degree or equivalent work experienceMinimum 2 years of administrative, coordination, or office support experienceProficiency in Microsoft Office (Outlook, Word, Excel, Teams)Strong organizational and multitasking abilitiesStrong written and verbal communication skillsAbility to handle confidential information with discretionAbility to work independently and manage multiple prioritiesPreferred Qualifications:Bachelor's degree preferredExperience supporting multiple teams or stakeholdersFamiliarity with event coordination and vendor management
