Office Support Specialst II

Job Title Clerical and Administrative Support Position Description Provide clerical and administrative support in accordance with standard procedures and general understanding of other departments' functions to assist professional staff in meeting the goals of the department/division. Work Location: This position currently works on-site only. Job Duties and Responsibilities Answer customer calls regarding street activities, Spring & Fall Sweep, Seal Coat, Snow Emergency, Police and 311. Enter timesheets from 3 divisions and back up for 2 other divisions. Function as a liaison between professional staff and the general public or other agencies. May function as a lead worker over clerical support staff. Maintain and supervise the maintenance of a variety of records and files. Provide support and participate in training Dispatch out to foreman and TM&R staff. Gather salt/sand usage reports for billing. Gather Asphalt Tonnage usage for billing and reporting. Operate a variety of office machinery. Roadway permits for closing streets and hooding meters. 311 calls and emails, dispatch to correct district notify customer of complaint and follow through until complete. Typing up no parking sheets then email the sheets to other City agencies for streets that are posted for no parking for work being done. Answer calls from the public about no parking signs, figure out what department is working in the area. Work with Hennepin County to post streets for no parking and type up the posting sheets then email the sheets to other City agencies. Screen phone calls and visitors, responding to general inquiries or routing calls to appropriate personnel, and monitor a reception area. Answer call from the public regarding complaints for Street Dept, Bridge Dept. Write down complaint and give to the appropriate person or group. Enter, retrieve and verify data using modern computer software applications. Evaluate and monitor the operational activities of an assigned program including interpretation and application of policies and procedures. Provide information to the public on policies, programs and procedures in accordance with guidelines. Develop, maintain and revise files, including database and/or hardcopy files. Perform detailed research, collect and compile data for administrative and annual reports, agreements, contracts, other documents and a variety of informational materials. Refer to and apply rules, regulations and policies to answer inquiries and resolve problems. Required Qualifications Minimum Education: High School Diploma or equivalent Minimum Experience: Two years of experience as an Office Support Specialist I, or two years administrative support experience, or equivalent Knowledge, Skills and Abilities Knowledge of modern office procedures, methods and equipment. Knowledge of computer entry and retrieval procedures, spreadsheets, databases, word processing and software used in the assigned area. Knowledge of organization, operations, functions, policies and procedures of the assigned department. Ability to exercise independent initiative and judgment within established guidelines. Ability to compile pertinent data and prepare clear, concise, accurate reports. Ability to establish and maintain effective working relationships. Good English, spelling, math, grammar and punctuation skills. Good interpersonal skills. Sufficient keyboarding skills to type 45 WPM accurately. Ability to operate a personal computer.
