Inclusion Connections is looking for a highly organized and personable Administrative Operations Manager to support a fast-paced environment. Qualified candidates will be responsible for the following:
Key Responsibilities:
Office Management:
Oversee daily office operations to ensure efficiency and compliance with company policies.
Manage office supplies inventory and place orders as necessary.
Schedule meetings, appointments, and manage executive calendars.
Coordinate with IT department on all office equipment and technology needs.
Organize office layout and maintain office condition.
Provide general support to visitors and handle inquiries.
Prepare documents, space, and equipment for meetings.
Maintain and train staff on CRM software.
Spearhead the creation of company newsletters and other communications.
Assist with event support as needed.
Handle other projects as assigned.
Bookkeeping:
Maintain accurate financial records, including accounts payable and receivable.
Reconcile bank statements and bookkeeping ledgers.
Prepare financial reports and summaries.
Manage payroll and ensure timely payment of salaries.
Handle invoicing, billing, and collection of payments.
Prepare and file tax documents and ensure compliance with tax regulations.
Record cash deposits from pop-ups and retail store, and take deposits to the bank.
Enter Shopify ACH receipts.
Assist in inventory tracking and other miscellaneous accounting tasks as needed.
Executive Assistance:
Provide high-level administrative support to executives, including scheduling, email management, and travel arrangements.
Prepare and edit correspondence, reports, and presentations.
Act as a point of contact between executives and internal/external stakeholders.
Manage information flow in a timely and accurate manner.
Assist with special projects and other duties as assigned.
HR Assistance:
Assist in the recruitment and onboarding process for new hires.
Maintain employee records and ensure compliance with HR policies.
Coordinate employee training and development programs.
Handle employee inquiries and provide support on HR-related issues.
Assist with the administration of employee benefits and payroll.
Work with the Management Team to ensure employee onboarding and termination procedures are followed.
Maintain the employee benefits program, including handling the annual enrollment process.
Maintain company records and personnel files.
Facility Management:
Oversee equipment, cleaning vendors, mail, supply shipments, and security.
Ideal Candidate Qualifications:
Three or more years of progressively responsible administrative support experience.
Proficiency in Microsoft Office 365, including Outlook, Word, Excel, SharePoint, Microsoft Teams, and Mailchimp.
Prior bookkeeping experience and working knowledge of Microsoft Office products. Experience using QuickBooks Online is a plus.
Excellent communication and strong interpersonal skills.
Excellent attention to detail and strong written communication skills.
Proactive in resolving administrative challenges.
Working knowledge of Canva, Adobe Suite, WordPress, and Google Docs.
Education and Experience:
Associate’s Degree required; Bachelor’s Degree preferred.
Up to 3 years of related experience and/or training.
