Our leadership team is driven by innovation, operational excellence, and a commitment to improving community health.We are seeking a highly organized, proactive, and discreet Executive Assistant to support our C-Suite leadership team. In this part-time, hybrid role, you will act as a strategic partner to our executives, ensuring their time is optimized and operations run smoothly. The ideal candidate will bring C-Suite support best practices, a high level of emotional intelligence, and an understanding of the fast-paced, confidential nature of a healthcare corporate environment.RequirementsKey ResponsibilitiesStrategic Calendar & Time Management: Serve as the primary gatekeeper for the C-Suite. Manage complex calendars, resolve scheduling conflicts proactively, and ruthlessly prioritize meetings to ensure leadership time is aligned with company goals.Meeting Preparation & Facilitation: Prepare and distribute agendas, briefing materials, and presentations prior to meetings (incl. Board Meetings). Attend key leadership meetings to take minutes, track action items, and ensure follow-through.Communication & Inbox Management: Monitor, prioritize, and draft responses to executive emails. Act as a professional liaison between the C-Suite, physicians, clinic staff, board members, and external partners. Receives and processes organization-relevant mail.Travel & Expense Coordination: Arrange complex domestic travel itineraries (flights, accommodations, ground transportation) and process monthly expense reports accurately and on time.Project & Document Management: Assist with ad-hoc projects, organize secure corporate files, and help prepare board decks and leadership reports using Microsoft Office/Visio/etc....Confidentiality & Compliance: Handle highly sensitive company, financial, and patient-related information with the utmost discretion, adhering strictly to HIPAA and company compliance standards.Qualifications & Best-Practice SkillsExperience: 3–5+ years of experience as an Executive Assistant, with at least 2 years supporting C-level executives. Experience in healthcare, a medical group setting, or private equity-backed healthcare is highly preferred.Tech-Savviness: Advanced proficiency in Microsoft Office Suite (Outlook, Teams, PowerPoint, Excel, Word) and virtual meeting platforms (Zoom, Teams).Exceptional Communication: Flawless written and verbal communication skills with the ability to interact professionally with physicians, board members, and staff at all levels.Anticipatory Mindset: A proactive problem-solver who can "see around corners," anticipating executive needs before they arise.High EQ & Adaptability: Ability to thrive in a fast-paced, evolving environment, remaining calm under pressure and handling competing priorities with grace.Attention to Detail: Uncompromising accuracy in document preparation, scheduling, and data entry.Work Environment & ScheduleHours: 20 to 29 hours per week.
