This role ensures that services remain authorized, documentation stays compliant, and client care continues without interruption.\n\nThis is not a direct therapy role, but a key support position that works closely with licensed clinicians to ensure the clinical and administrative systems behind care are running efficiently and effectively.\n\nThe ideal candidate is highly organized, detail-oriented, and thrives in a structured environment where accuracy and timeliness are essential to client success.\n\nKey Responsibilities\nAuthorizations & Service Continuity\nSubmit and manage prior authorizations and concurrent reviews within required timelines\nTrack authorization statuses and proactively notify clinical staff of approvals, denials, or upcoming expirations\nCommunicate with insurance providers and Care Management Organizations (CMOs)\nAssist in resolving authorization-related billing or documentation issues\n\nDocumentation & Compliance\nReview client records to ensure completeness (signatures, dates, required forms)\nIdentify documentation deficiencies and notify clinicians/supervisors\nPrepare records for internal, state, and federal audits\nMaintain tracking systems for authorizations, treatment plans, and compliance deadlines\nAssign clients to therapists and paraprofessionals based on availability\nMonitor treatment plan due dates and ensure timely updates\nAssist with updating goals and objectives in the electronic health record (as directed)\nEnsure documentation is properly uploaded and maintained\n\nData & Administrative Support\nCollect demographic and non-clinical information from clients and collateral contacts\nEnter and maintain accurate data in electronic health records and tracking systems\nSupport productivity tracking and reporting\nAssist with discharge documentation and coordination\nSupport non-clinical aspects of client transitions between services\n\nQuality Improvement\nParticipate in utilization review and quality improvement activities\nAssist with data tracking and reporting for performance initiatives\n\nMinimum Qualifications\nBachelor’s degree in Psychology, Social Work, Human Services, or a related field\nStrong organizational skills and attention to detail\nAbility to manage multiple deadlines and priorities\nProficiency with Microsoft Office (especially Excel)\nExcellent written and verbal communication skills\n\nPreferred Qualifications\nExperience in behavioral health, community mental health, or human services\nFamiliarity with Electronic Health Records (EHR) systems\nKnowledge of Medicaid, insurance authorization processes, or CMOs\nUnderstanding of HIPAA and documentation compliance requirements\n\nProfessional Expectations\nMaintain strict confidentiality in accordance with HIPAA and agency policies\nCommunicate professionally with staff, supervisors, and external partners\nDemonstrate reliability, accountability, and strong ethical standards\nPerform additional duties as assigned within the scope of the role\n\nWhy Join Positive Growth?\nAt Positive Growth Inc., you’ll join a mission-driven team that is deeply committed to improving the lives of children and families.
