Responsible for coordinating administrative support functions for projects assigned to the Project Managers whom are direct reports. Will assist in all phases of the projects from procurement through closeout.\n\nPrincipal Duties and Accountabilities:\nWorks under the general supervision of the Project Managers to whom this position directly reports.\nAssists in project permit, insurance, and bond procurement.\nAssists in project mobilization and demobilization.\nSets up project documentation and provides project document control from beginning of project through its setup through the end of the project. Coordinates its distribution to both internal and external parties per company procedures.\nMaintains organized filing system for all project documentation, including ensuring that the operations portal (NEST) and Bluebeam Studios are kept current.\nProcesses and track submittals from requesting from vendor, through internal approval, through external approval, and through release of the submittal.\nProcesses and track purchases.\nAssist in processing and maintaining subcontracts.\nSets up projects on project management software.\nProcures and processes Operation and Maintenance Manuals, Attic Stock, Commissioning Documentation, and As-Builts.\nWrites, edits, and/or transcribes general correspondence and/or project documents. This may include letters, inquiry packages, change orders, purchase orders, contract agreements, etc.\nInterfaces with both internal and external individuals involved in the projects, such as project team members, general contractors, subcontractors, and vendors. Maintains ongoing communication related to project, responds to inquiries, seeks information and provides information as necessary to ensure the smooth administration of each project.\nMay participate in or coordinate special assignments related to project administration in order to improve operational efficiencies.\nMaintains and fosters positive sub-contractor and vendor relationships.\nJob Scope:\nThis position will provide administrative support for the project managers designated as direct reports.\n\nEducation & Experience:\nMinimum High School graduate or equivalency (GED) required.\nBusiness School or general business administration coursework may be beneficial.\nMinimum of two (2) years administrative support.\nMinimum of two (2) years of experience with document control processes.\nKnowledge, skills, and abilities:\nMust be proficient in MS Word, Excel; proficiency with Bluebeam (preferred) or Adobe.\nUnderstanding of various construction documents and how to properly execute them.\nKnowledge of the construction process, the role of key stakeholders in the process, etc.\nSharp attention to detail and superior organizational skills.\nExperience with web based project management systems.\nAbility to adapt to shifting priorities – flexibility.\nKeen sense of urgency and proven ability to meet or exceed deadlines and commitments.\nAbility to communicate effectively, both verbally and in writing.\nAbility to develop and foster effective professional relationships, internally and externally\nGood organizational skills, attention to details is important.\nPhysical and/or travel demands:\nWork will be done in a typical office environment that will enable comfortable sitting, but may also require sitting, standing, occasional bending, reaching, stooping, and lifting light objects.\nBenefits and Compensation:\nThe range for this position has been established at $23.30 to $32.92 and is US Engineering’s good faith and reasonable estimate at the time of the posting. The compensation offered to the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.\nYour total compensation will go beyond the number on your paycheck. Team members are eligible for a year-end bonus based on company and/or individual performance as well as paid time off.
