You will work professionally and effectively with faculty, campus administrators, staff, and students. Daily the Executive Assistant exercises independent judgment in responding to multiple demands, prioritizing tasks, and responding to internal and external constituencies. Additionally, effective coordination and supervision of student employees assigned to the offices./ppEssential Duties:/pulliProviding administrative support functions for the Offices of the President and Provost./liliProviding customer-friendly reception and service to faculty, staff, students, and external parties./liliOffice of the President Support:/liulliProvide support in scheduling and booking travel/liliPrepare trustee meetings and board book construction/liliMonitor WD budget and expense entries and tracking/liliSupport competitor analysis using IPEDs, publicly available data, webpage analysis/liliManage and maintain electronic filing system for grant documents/liliHire and supervise student workers/liliOther projects assigned by the President/li/ulliOffice of the Provost Support:/liulliArrange travel, accommodations, meetings, phone interviews, communications for Guest Speakers, Department Reviewers, etc./liliSchedule meeting spaces and order catering for faculty meetings, academic senate meetings, faculty retreats, and special events./liliMaintain faculty lists for academic catalog, commencement program, order of march, opening faculty meeting, and promotions/liliTrack faculty professional travel spending/liliCoordinate Faculty Office moves with Facilities and faculty members/liliAssist Provost with academic program data collection and analysis/liliMaintain office supplies, make special orders as needed/liliProcess invoices, reimbursement requests, and P-card reconciliation/liliProvide assistance in letter writing for full time faculty appointments/liliRecruit, hire, and supervise student worker(s), approve time worked/liliSet and maintain faculty meeting schedule in Google Calendars/liliCoordinate Departmental Fellows program including notification and certificates/liliMonitor Provost Email Account/liliProvide administrative support for Alpha Chi Honors Society/liliOther projects as assigned by the Provost/li/ul/ulpSupervisory Responsibilities:/pulliThis position will directly supervise student workers and carry out supervisory duties in accordance with college policies and applicable employment laws./liliHiring and training student employees/liliPlanning, assigning, and directing work/liliAppraising performance/liliRewarding and disciplining employees/liliMaking salary adjustment recommendations/liliAddressing complaints and resolving problems/li/ulpQualification Requirements:/pulliRequires a minimum of a Bachelors Degree/liliRequires a minimum of 3 years of similar administrative and supervisory experience./liliRequires excellent oral and written communication skills to effectively communicate with employees, students, student workers, faculty members, guests and the public./liliRequires the ability to use a personal computer and Web browser, including a working knowledge of Microsoft Office Suite, Adobe Acrobat, Google Systems, ZOOM./liliExperience with AdAstra room scheduler as well as Workday systems knowledge is beneficial./liliRequires the ability to work collegially in a team-oriented environment./liliExperience with grant management or working within a research environment is helpful/liliExercises individual initiative, independent action, sound judgment, and internal motivation to find answers./liliRequires demonstrated ability to handle challenging situations with confidence and function effectively with frequent interruptions./liliRequires demonstrated expertise in the areas of organization, problem-solving and critical thinking./liliRequires knowledge of and the ability to use a variety of standard office equipment such as a telephone, computer keyboard, copier, scanner, etc./li/ulpAbout Carthage:/ppLocated on the shore of Lake Michigan in the thriving Chicago-Milwaukee corridor, Carthage College blends the best liberal arts traditions with desirable degree programs, transformative learning opportunities, and personal attention from dedicated faculty and staff.
