Reporting to the EVP of Operations & Compliance, this role is integral to maintaining the accuracy, integrity, and efficiency of the firm's day-to-day operational functions within a regulated investment advisory environment.The ideal candidate brings prior experience in financial services operations, a thorough understanding of industry compliance requirements, and a proactive approach to workflow management, process improvement, and cross-functional collaboration.Position Details:Department - OperationsLocation - Austin, TX (On-site)Employment Type - Full-Time, ExemptReports To - EVP, Operations & ComplianceFLSA Status - ExemptKey Responsibilities:Operational Administration & ProcessingAdminister daily operational workflows including new account onboarding, account maintenance, and transaction processing in accordance with firm policies and regulatory standardsPrepare, review, and maintain operational documentation, client records, and regulatory filings in compliance with SEC, FINRA, and applicable state regulationsPerform reconciliations of accounts, positions, and transactions; investigate and resolve discrepancies in a timely mannerMonitor and adhere to service level agreements (SLAs), escalating issues proactively to management as warrantedCompliance & Regulatory SupportSupport the compliance function by maintaining accurate books and records and assisting with regulatory examinations, internal audits, and periodic reviewsAssist in the preparation and distribution of required regulatory disclosures and client communicationsUphold strict data privacy and information security standards in the handling of sensitive client and firm financial dataReporting & AnalyticsGenerate and distribute operational metrics, management reports, and data summaries on a recurring and ad hoc basisMaintain data integrity across CRM, portfolio management, and document management systemsContribute to the development and maintenance of operational dashboards and performance tracking toolsCross-Functional CoordinationServe as a key operational liaison between advisor teams, finance, compliance, and client services departmentsCoordinate workflow handoffs, track outstanding items, and ensure timely resolution of cross-departmental requestsParticipate in process improvement initiatives, system implementations, and firm-wide operational projectsQualificationsBachelor's degree in Finance, Business Administration, Economics, Accounting, or a closely related fieldPrefer a minimum 2 years of experience in financial services operations, brokerage, investment advisory, or a related regulated environmentWorking knowledge of financial products, investment account types (taxable, retirement, trust), and related documentation requirementsDemonstrated proficiency in Microsoft Office Suite, with advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP, data validation)Strong analytical capabilities with meticulous attention to detail and commitment to data accuracyExcellent written and verbal communication skills; ability to interact professionally with advisors, clients, and regulatorsProven ability to manage competing priorities and meet deadlines in a fast-paced, compliance-driven environmentPreferred Qualifications Series 65 (Uniform Investment Adviser Law) registration or willingness to obtain upon hireExperience with financial technology platforms such as Tamarac, Orion, Salesforce Financial Services Cloud, or similar CRM/portfolio management toolsFamiliarity with SEC Investment Advisers Act requirements and Form ADV filingsPrior exposure to GIPS compliance reporting, performance measurement, or billing operationsExperience supporting internal or external audits and regulatory examinationsCompensation & BenefitsWaterloo Capital L.P. offers a competitive total compensation package commensurate with experience and qualifications, including:Competitive base salary, reviewed annuallyPerformance-based discretionary bonusComprehensive health benefits: medical, dental, and vision insurance401(k) retirement savings plan with employer contributionPaid time off (PTO) and paid firm holidaysProfessional development support, including licensing exam sponsorshipStructured career pathing with advancement opportunities within the operations and compliance functionsWork EnvironmentThis is an on-site, office-based role located at Waterloo Capital's Austin, TX headquarters.
