We’re not looking for someone who needs to be told what to do next — we’re looking for someone who already knows.\nWhat You’ll Do\nEvent Coordination\nPlan and coordinate organizational events from concept through completion, including logistics, timelines, and vendor communication\nAssist with event setup, day-of operations, and teardown\nMake thoughtful, cost-conscious decisions while executing events within established budgets\nCommunicate with venues and partners to keep events running smoothly\nProject Management\nHelp bring structure to marketing initiatives by tracking tasks, timelines, and deliverables across multiple projects simultaneously\nServe as an organizational resource for the marketing team — keeping projects moving, flagging what needs attention, and making sure nothing falls through the cracks\nMaintain clear communication across internal stakeholders so everyone stays aligned and informed\nProactively identify what needs to happen next and take initiative without waiting to be directed\nVolunteer, Vendor & Community Coordination\nRecruit, schedule, and coordinate volunteers for events and ongoing organizational needs\nServe as a point of contact for vendors and external partners, managing relationships and expectations\nBuild relationships with local nonprofits and charitable organizations, looking for natural ways to involve them in our events\nThe Brat Shed — Community Fundraising Program\nBe the friendly go-to contact for local nonprofits using The Brat Shed for their own fundraising\nCoordinate scheduling, share what they need to know, and check in to make sure their experience goes well\nHelp maintain those relationships over time so groups want to come back\nEvent Space Coordination\nMaintain the scheduling calendar for our 200-person event space\nServe as the primary point of contact for inquiries and bookings, keeping communication timely and organized\nCoordinate with event organizers to ensure they have what they need ahead of their event\nInternal Events & Employee Experience\nPlan and coordinate internal events such as employee appreciation parties, holiday gatherings, and team meals\nHandle meal ordering and catering logistics for internal functions\nKeep internal events organized, on schedule, and enjoyable for the team\nContent Capture\nCapture photos and short video content at events to hand off to our Social Media Coordinator\nHelp represent the organization at community events and with local partners\nGraphic Design Support\nUsing templates provided by the Marketing Manager, produce event assets such as signage, coupons, and promotional materials\nWork within Adobe Creative Suite (InDesign, Illustrator, or Photoshop) to customize and prepare print-ready or digital files\nEnsure finished assets are accurate, on-brand, and ready to use without requiring significant revision\nWhat We’re Looking For\nAbility and willingness to work Saturdays, evening hours, and off-site events\nExperience in event coordination or a related field\nStrong project management instincts — you can juggle multiple moving pieces, track what’s outstanding, and keep others informed without being asked\nA natural communicator who’s comfortable talking with vendors, volunteers, community partners, and the public\nHighly organized and dependable — you follow through on what you say you’ll do\nA self-starter who takes ownership of their work and brings initiative rather than waiting for direction\nA team player who collaborates well and communicates proactively\nGenuine enthusiasm for community involvement and local organizations\nComfortable capturing basic photo and video content on a smartphone\nWorking knowledge of graphic design software such as Adobe Creative Suite (InDesign, Illustrator, and/or Photoshop) — you don’t need to be a designer, but you should be comfortable working from templates to produce polished event materials\nFamiliarity with project management tools (Monday.com or similar) is a plus but not required\nFamiliarity with social media is a plus, but not required\nWhat We Offer\nCompetitive hourly wage depending on experience\nFlexible scheduling within the part-time structure\nPotential for hybrid work as the role develops\nA collaborative, mission-driven team that values your expertise and trusts you to do your job\nHands-on experience across events, project coordination, community relations, and marketing\nThe chance to make a real impact in the Fox Valley community\nAbout Us\nAppleton Harley-Davidson is a second-generation, family-owned dealership that has proudly served the Fox Valley riding community for 50 years.
