We are looking for someone with exceptional organizational instincts, a genuine love of process, and the ability to manage multiple moving pieces without dropping anything.\nYou will be the operational backbone of this business handling the administrative and client-facing work that keeps everything running. When things are busy (payroll processing days, quarterly tax deadlines) you move fast and stay accurate. When things are slow, you work the backlog: cleaning up records, documenting processes, researching, and building the internal infrastructure that makes busy days easier. There is always something useful to do here. The ability to find it without being told is part of the job.\nYou will work directly alongside the owner in person. This is a close working relationship in a small office environment.\nWhat You Will Do:\nDaily and deadline-driven:\nMonitor and process incoming payroll reports and file them accurately\nHandle client communications: answering questions, following up, keeping clients informed\nLog requests as they arrive, route them appropriately, and track resolution\nRun daily reports, client account reviews, and perform balance checks\nScan incoming documents, log them, and create tasks from them\nOn a recurring basis:\nAssist in the filing of quarterly payroll tax reports once completed\nUpdate and maintain client notes and account records\nResearch and respond to requests from clients, agencies, and partners.\nWhen the pace is lighter:\nBuild and maintain standard operating procedure (SOP) documentation\nConduct client file audits for completeness and upcoming deadlines\nResearch topics assigned by the owner\nManage and schedule social media content\nBuild prospect lists and support business development activities\nIdentify and flag internal process gaps\nWhat We Are Looking For:\nThis role is the right fit if you:\nFind satisfaction in a clean, complete checklist\nClose loops without being followed up on\nCan hold structure for someone else, not just yourself\nHandle repetitive tasks with consistent accuracy, not declining attention\nAre comfortable telling a client \"I don't know, but I will find out\" and then actually finding out\nCan shift between urgent deadline work and self-directed backlog work without losing momentum\nAre genuinely curious and can research unfamiliar topics effectively\nAre comfortable asking questions when something is unclear rather than guessing\nAdministrative or coordinator experience that translates well:\nLegal assistant, paralegal, or law office administration\nBookkeeping or accounting office support\nMedical or dental office coordination\nAny administrative assistant or coordinator role where deadline accuracy, client communication, and document management were core responsibilities\nIndustry knowledge is not required. It can be taught.
