Office Coordinator Receptionist

Job Description Key Responsibilities Manage day-to-day accounting operations across multiple entities, including accounts payable,accounts receivable, billing, cash applications, and payment processing Process vendor bills, customer invoices, ACH payments, checks, credit card transactions, and bankactivity accurately and timely Maintain accurate financial records in QuickBooks Online, including reconciliations, journal entries,and supporting schedules Perform bank reconciliations, credit card reconciliations, intercompany reconciliations, and assistwith month-end close processes Monitor cash activity, maintain organized accounting records, and support reporting requests Assist with inventory tracking, purchase orders, settlement tracking, and operational accountingsupport Prepare and maintain AP/AR aging reports, payout schedules, customer/vendor records, W-9s, andrelated documentation Communicate with vendors, customers, operations teams, and management to resolve discrepancies, collect outstanding balances, and support ongoing accounting needs Serve as the in-office point of contact for local vendors, including coordinating and processing same-day payments as needed Assist with compliance reporting, insurance allocations, audit requests, and other administrative accounting functions Support process improvements, workflow organization, and internal control initiatives Provide general accounting and administrative support as needed in a fast-paced, multi-entity environmentThe best candidate will possess the following: 3-5 Years Experience in a full charge Bookkeeper role Must have Intermediate to advanced experience in Quickbooks Online Intermediate to Advanced level Microsoft Excel skills is a plus Scrap metal industry experience a huge plus Must be a great communicator as this role is in a separate office from the Controller Must be good with people, including sometimes "interesting" people :) Company Description Drill Bit Exchange (DBE) is the leader in asset recovery solutions for the drill bit industry serving manufacturers, distributors, and suppliers across the oil & gas, mining, geothermal, water well, and construction sectors.Company DescriptionDrill Bit Exchange (DBE) is the leader in asset recovery solutions for the drill bit industry serving manufacturers, distributors, and suppliers across the oil & gas, mining, geothermal, water well, and construction sectors.
