To learn more, please visit: https://www.NFP.com.Summary: The Executive Assistant is responsible for enhancing a top performing Producer's effectiveness by performing a wide variety of complex, diverse, sensitive and confidential administrative functions while providing overall gate-keeping and information management support.Essential Duties And ResponsibilitiesAct as gatekeeper to the Producer, understanding priorities in the organizationMaintain heavy, complex and frequently changing calendarArrange corporate travel and meetings by developing itineraries and agendas, booking transportation, and arranging lodging and meeting accommodationsCoordinate meetings and appointments as directed by the Regional President, reserving meeting space, and preparing the conference room with audio-visual technology as neededProvide high level administrative support to the ProducerSchedule all internal and external meetings and coordinates logistics for meetings/lunchesCoordinate all aspects of appointments, meetings, and conference callsPrepare and review materials and correspondence for meetingsCompile and modify presentations, spreadsheets, and other various documentsHandle all confidential business matters and works independently on special assignmentsAnswer and screen incoming phone calls and places calls as directedHandle personal matters as necessaryParticipate in regular departmental meetings and training and development sessions as directedCommitment to culture requires a demonstration of professionalism, accountability, customer/client focus, and teamworkFacilitate all aspects of the meeting prep process, coordinating with all necessary departments to gather and compile appropriate materials that will lead to a successful meetingProvide a bridge for smooth, accurate communication between the Producer’s office and internal departments; demonstrating leadership to maintain credibility, trust and supportExecute occasional marketing campaigns as directed by Producer in conjunction with Marking DepartmentKnowledge, Skills, And/or AbilitiesTo perform this job successfully, must be able to perform each essential duty satisfactorily. Must also have expert level communication skills and strong decision making ability is essential. Must have the ability to interact diplomatically and professionally, while maintaining the highest level of confidentiality. The ability to work independently and multi-task is crucial. Exceedingly well organized, flexible and able to prioritize in a fast paced environment is key. The ability to manage multiple priorities: several calendar requests to ensure each meeting is given the proper prioritization. Must be a power user in Microsoft Outlook, Word and PowerPoint, and proficient in Excel. The base salary range for this position is $62,000 – $95,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.NFP and You...
